Cards are the core building blocks of your Boards in Aptly. Each card represents an item moving through a process — like a lead, lease, renewal, or work order. Cards track progress from start to finish and hold all related details, participants, and activity in one place.
What Is a Card?
A card represents one specific record or item within your process. Think of it as a digital file that travels across your board’s stages — from start to completion.
For example:
- On your Renter Leads Board, each card represents a prospect moving through the leasing pipeline.
- On a Lease Renewals Board, each card represents a lease moving through the renewal process.
Each card contains all the essential information and relationships for that record — such as owners, residents, properties, and communications.
How You’ll See Cards
Cards can appear in two different formats depending on your selected view:
- Kanban View: Cards display as tiles within each stage column, giving you a visual overview of progress.
- Table View: Cards appear as rows in a list, allowing you to quickly sort, filter, and manage data.
You can switch between these views at any time to work in the way that suits your process best.
What’s Inside a Card
Each card is made up of several sections:
- Key Details: Contact names, properties, and other important identifiers.
- Fields: Custom fields that capture important data (like renewal date, rent amount, or status).
- Participants: The people connected to the card — such as owners, residents, or prospects.
- Activity: A history of messages, notes, and updates associated with that card.
Cards are completely customizable, so you can decide what information appears and how it’s displayed.
How Cards Fit Into Your Board
Cards move across your board’s stages, reflecting where they are in the process.
For example:
- A new prospect card might start in New Inquiry
- Move to Showing Scheduled
- Then to Application Received
- And finally to Leased
This helps you (and your team) track progress at a glance and quickly identify where each item stands.
