Recurring tasks help you automate repeating actions on your boards — such as weekly check-ins, monthly follow-ups, or recurring maintenance reviews — without manually adding the same task over and over.
Before setting up the automation that will create the recurring task, you’ll need to create a task template on the same board where the tasks will be assigned.
Step 1: Create the automation
To begin, click the ✨ Automation icon in the upper right corner of your board, then select New Automation.
At the top of the automation setup, you’ll be able to complete the following details:
- Title – Give your automation a descriptive name so it’s easy to identify later.
- Status – We recommend starting with Draft before setting it live.
- Folder – Organize your automation into a folder. (This doesn’t reflect board stages.)
- Test Mode – Review the mode’s behavior before using it; do not assume it creates real tasks or has no side effects.
- Description (Optional) – Add internal notes or context for your team.
Step 2: Choose a trigger
Next, select the trigger that will determine when this automation fires.
For recurring tasks, choose one of the following triggers:
- On Reply – When a reply is received in a conversation related to the card.
- Custom Condition – When a custom field or specific condition is met.
- Task Completion – When a selected task is completed on the card.
Do not assume that leaving and re-entering a stage will repeat a task. Review the automation’s trigger, conditions and timing, then validate the intended recurrence on an isolated test card.
Step 3: Set the timing
Once you’ve set your trigger, configure the timing for when the recurring task should occur. You can choose from several options:
- Specific Day of the Week – Example: Every Sunday
- Specific Day of the Month – Example: The 1st or 15th of each month
- Certain Days of the Week – Example: Every Monday, Wednesday, and Friday
- Every X Days - Example: Every 14 days
For Custom Condition → Every X Days, enter the intended interval in Every … Days. Review Fire immediately on entry and Fire After Specific Time before activating the rule; an immediate first run may not match the schedule you intended.
Recurrence depends on the configured rule’s conditions, timing and status. Seeing these controls does not establish that recurring tasks have successfully run; verify execution and the resulting task on an isolated sample.
Step 4: Add the action
Under Action, select Create Task.
Under Task Field, choose the intended task field (shown as Tasks in the example). Select From Template, then use Choose Task Template to select the template created earlier.
Review Task Due Dates Honor Business Days against the schedule you want. Before activation, confirm the template, assignees, due dates and conditions rather than assuming the displayed defaults are production-ready.
Step 5: Test and activate
Keep the automation in Draft while reviewing its scope, assignment and timing. Validate behavior on an isolated test card before activating it for production cards. Review execution results and the resulting task; a test-mode result alone does not establish that a production task was created. Set the rule to Live only when you are ready for it to affect matching cards.
The setup controls were inspected in an unsaved Draft example; the example was canceled without saving or activating it. Recurrence and task creation were not runtime-tested.
