Your First Steps in Aptly

A simple tasks to quickly get familiar with Aptly quickly

This guide walks you through the most important first steps to take after signing up so you can start getting value right away.

You don’t need to set everything up at once. Start with the basics below, then build from there.


Step 1: Get Oriented

Begin by familiarizing yourself with the main areas of Aptly:

  • Dashboard to see tasks and notifications
  • Boards where your workflows live
  • Inbox for email, text, and phone communication
  • Contacts and Locations for synced property and contact data

If you haven’t already, the Product Tour is a great way to see where everything lives.


Step 2: Create or Install Your First Board

Boards are where work happens in Aptly.

To get started:

  • Click New Board from the left sidebar
  • Choose Create from gallery to install a pre-built template, or
  • Select Create blank board if you want to build your own workflow

Once your board is created, you can begin adding cards immediately.

Step 3: Add Your First Card

Cards represent individual items of work, such as a renewal, applicant, or task.

Try creating a test card to:

  • see how fields work
  • move the card through stages
  • explore what information is tracked

This is the fastest way to get comfortable using Aptly.

Step 4: Connect Your Inbox

Connecting your Inbox allows you to manage communication directly inside Aptly.

Once connected, you can:

  • send and receive messages
  • relate conversations to cards
  • use templates for faster replies

This step helps keep communication tied to your workflows instead of scattered across inboxes.

Step 5: Invite Your Team

Aptly works best when your whole team is involved.

Invite teammates to:

  • collaborate on boards
  • share visibility into work
  • ensure nothing falls through the cracks

You can assign roles and permissions as you add users.

You don’t need to automate everything right away.

Start small by:

  • setting up one simple automation
  • testing it with a card
  • adjusting as needed
