AI Agent permissions control who can view and edit AI agents within Aptly.

Where to Manage AI Agent Permissions
Permissions in Aptly are assigned per user role.
To access and update permissions:

- Go to Company Info
- Select Team
- Navigate to Roles and Permissions
⚠️ You must have access to Company Info and Team settings to update permissions. These permissions are typically available only to Admin users.
AI Agent Permission Types
There are two primary permissions related to AI agents:
- Ability to View AI Agents
- Ability to Edit AI Agents
Each permission controls a different level of access.
Ability to View AI Agents
This permission allows users to:
- Access the AI Agents section (star icon in navigation)
- View the AI Agents Overview dashboard
- Review Activity and call logs
- Open individual AI agents
- View configuration details in read-only mode
- See Recent Activity and Recent Changes (change log)
Users with this permission cannot make any changes to AI agent settings.
This is ideal for:
- Managers monitoring performance
- Team members reviewing call history
- Users who need visibility but not configuration access
If this permission is turned off, the user will not see the AI Agents section at all.
Ability to Edit AI Agents
This permission allows users to:
- Modify AI agent configuration
- Update capabilities and conversation settings
- Adjust routing and behavior
- Save configuration changes
Users with this permission can fully manage and update AI agents.
This permission is best suited for:
- System administrators
- Operations leaders
- Team members responsible for AI setup and optimization
How View and Edit Permissions Work Together
These permissions can be enabled independently:
View Only (Recommended for Most Users)
- View AI Agents: ON
- Edit AI Agents: OFF
Result:
- User has read-only access.
- Can see performance data and configuration.
- Cannot make any changes.
Full Access
- View AI Agents: ON
- Edit AI Agents: ON
Result:
- User can both view and update AI agents.
No Access
- View AI Agents: OFF
- Edit AI Agents: OFF
Result:
- AI Agents section is not visible.
Tracking Configuration Changes
When users have edit access and make updates, those changes are logged.
Within each individual AI agent, the Recent Changes tab (change log) shows:
- What was updated
- Who made the change
- When the change occurred
This ensures accountability and makes troubleshooting easier if agent behavior changes unexpectedly.
Summary
AI Agent permissions allow you to control:
- Who can see AI performance and call history
- Who can modify AI configuration
- Who has full administrative control
To update these permissions:
- Go to Company Info → Team → Roles and Permissions
- Adjust View AI Agents and Edit AI Agents as needed
