Skills lists named workflows and their availability for your organization. Scheduled lets you begin describing work and timing for review with Hiro. Inspect both before relying on a recurring task.
Before you begin
- Open the correct Aptly organization.
- Decide what result you want, which records it should cover, and when it would be useful.
- For changes that affect the whole team, involve an administrator with the required Setup access.
- Have a timezone ready. A time such as “7 AM” is incomplete without one.
Review the skill catalog
- Open Hiro and select Skills.
- Use All, Enabled, or Disabled to inspect the catalog.
- Read a skill’s description and its organization availability label.
- Check whether the card lists active schedules.
- If a skill is disabled, check with your administrator before selecting Enable. The catalog describes enabled and disabled status as organization-wide.
This catalog example shows Weekly board summary and Unsigned PMA follow-up, both disabled for the organization.
The catalog describes Weekly board summary as reviewing a selected board and summarizing current work and items needing attention. Unsigned PMA follow-up is described as finding sent agreements awaiting owner signatures and reviewing reminder messages before sending. Read the configuration and review requirements for your selected skill before using it.
Start describing a scheduled task
- Select Scheduled.
- Choose New task.
- Enter a task name if you want one. The field is optional.
- Describe the work, the source, and the desired timing. For example: “Every weekday at 7 AM America/Los_Angeles, summarize the active cards on [board name] that need review.”
- Check the timezone shown below the description. The interface says it can be refined in chat.
- Select Review with Hiro to continue to review. Do not treat filling out this form as an active schedule.
Scheduled begins with a task description and timezone.
What to expect
At this stage, you have located a skill or prepared the information for a schedule review. The catalog also distinguishes organization availability from personal schedules and results.
Before relying on any schedule, verify its saved description, timezone, next run, and result location in your account. Confirm that the first expected run actually produced the intended result.
Important limits
- This article covers the initial Scheduled form. It does not provide steps for final confirmation, editing, pausing, or deleting a schedule.
- Filling out the initial form does not create an active schedule. Check the saved schedule and its first result before relying on it.
- General scheduled tasks and a skill’s own scheduling options should not be treated as interchangeable.
- Do not assume a reminder skill sends messages automatically, or that one account’s catalog is available to every organization.
