Update a listing’s marketing data in Aptly

This article explains how to update a listing in Apply using clear, step-by-step guidance. It is designed for new users and optimized for quick reference by AI Agents.

A listing in Apply represents any unit that has been synced from your property management software. Once synced, you can manage marketing, visibility, screening, and leasing details directly in Apply.


Step 1: Open the Listings Page

  1. Go to Locations > Listings in the main navigation.
  1. Use the filters at the top of the page to find the listing you need. You can filter by:
      • Beds
      • Baths
      • Price
      • Home type
      • Pets
      • Published for Rent (published, unpublished, or all)
  1. Click the listing title to open it.

Listing Sections Overview

Each listing includes four sections:

  • General – Main marketing, visibility, pricing, screening, and leasing details
  • Media – Photos, videos, and virtual tours
  • Reports – Listing report settings
  • History – Record of changes made to the listing

General

The General section is where most updates are made.

Basic Listing Details

This section includes:

  • Marketing name - if blank, the property address will show for the listing.
  • Building type - required for syndication
  • Address
  • Region
  • Rental category

Listings must have a building type and address selected in order to syndicate.


Visibility & Calls to Action

This section controls whether the listing is active and visible.

  • Published
    • ON = Listing is visible in the listing widget, screening, syndication, and showings
    • OFF = Listing is not available
  • Showings Enabled
    • Allows prospects to schedule tours
  • Accepting Applications
    • Controlled by filters on the Unit and selected in Screening Management Settings
    • If unsure which filter applies, contact your Account Manager or Implementation Specialist
  • Syndicate
    • ON = Listing is sent to enabled syndication sites

Published listings are required for screening, syndication, and showings.


Showing Details

Select how showings are handled:

  • Aptly Access
    • Displays the showing link
    • Allows overrides for tour calendar, tour mode, or calendar mode
  • Other Providers
    • Select Custom, Rently, or ShowMojo if using an external provider

Screening Details

Promotional Banner

Use the promotional banner to highlight special information.

  • Preview Text
    • Shows as a bubble preview to prospects
  • Promo Detail
    • Appears when the mouse hovers over the banner

Key Features

Key features describe the unit and help market the listing:

  • Parking type
  • Laundry type
  • Heating type
  • Cooling type
  • Unit amenities
  • Marketing description

Most information is initially synced from your property management software.

You may:

  • Edit fields directly in Aptly
  • Disable marketing data sync to manage all marketing details in Aptly

If bidirectional sync is not enabled or unavailable, changes may be overwritten by the property management system.

AI Marketing Description:

  • Available with Premium subscriptions
  • Allows AI to improve the marketing description for prospects

Pets

Pet details are synced from your property management software, but you can add or update information here.


Pricing & Availability

This section controls rent and availability details.

You can update:

  • Use Ranges (commonly used for floor plan listings) - sets minimum and maximums for rent, square footage, beds and baths.

Otherwise you can set:

  • Square footage
  • Beds and baths
  • Market rent
  • Deposit
  • Available date
  • Lease term (displayed in the listing widget)

AI Agent Data

If AI Agents are enabled, you can add internal notes for the agent to reference when speaking with prospects.

Examples include:

  • Parking instructions
  • Pet policy clarifications
  • Tour instructions

Leasing Information

Manage leasing and application settings:

  • Leasing Contact
    • Synced from the unit in your property management software
    • Can be overridden by selecting another contact in your account
  • Contact Us Form
    • Can be overridden with a unit-specific form
  • Lease Package & Fees
    • Defaults from the Applicants board
    • Can be overridden or hidden for this listing
  • Payment Account
    • Determines where application payments are sent
    • Defaults from Screening Management Settings but can be overridden per listing

Media

The Media section includes all visual content:

  • Virtual tour link
  • Video URL
  • Images synced from your property management software

You can:

  • Upload new images
  • Reorder images
  • Set a custom cover photo for the listing widget

Reports

Listing reports can be managed in two ways:

  • Use global settings under Listing Settings
  • Override settings for a specific listing if reports should only be sent for that unit

History

The History tab shows a log of all updates made to the listing. This helps track when and how changes were made.

All fields will save automatically. If 2 way sync is turned on for your Property Management Software integration, you’ll want to be mindful of where you are making changes. Any changes made in Aptly will update your PMS immediately.

Frequently Asked Questions

How do I mark a property as pet friendly? How do I change a property to No Pets?

On the Unit (not on the listing), designate whether the property allows pets. The Listing is a marketing view of the property.

I made changes to some listings, but the changes are not reflected in Zillow.

Once you make changes to a listing, you’ll need to click the refresh icon at the top to update the syndicated sites.

I recently published a new listing and toggled on Syndicate. Why isn’t it showing on my syndication site?

Ensure that all required fields are completed:

  • On the Listing: Building Type, Address, Published, Syndicate, Leasing Contact is on the unit
  • Sydnication: Leasing Contact is selected and correct
