Use email automation reporting to review sending activity and open signals, then investigate the messages behind the totals. A report helps you spot patterns; it does not prove that every message was delivered, read by a person, or acted on.
Open an existing report
- Open the board that runs the email automation, then open its Reports view.
- Look for Messages Sent, Total Opens, Open Rate, or Automation Metrics.
- Choose a Report Date, then check the actual start and end dates displayed—not just the preset name.
- Review the selected filters before comparing periods.
If these widgets are missing, ask your administrator or Support to confirm your board’s reporting setup. Existing email widgets may be available even when they are not offered in Add Widget. This guide explains how to read them; it does not assume you can install them from that menu. For general report setup, see Set up board reports.
Read the automation details
The Automation Metrics table shows Automation Name, Inbox, Subject Line, Created, Messages Sent, Open Rate, and Total Opens. Use these together to identify the automation before investigating a result. The table’s Created column is not a timestamp for every message it sent.
For a wider view, open the widget’s menu and choose Fullscreen.
- Messages Sent: the sending count reported for the selected scope, not a delivery receipt.
- Total Opens: opens recorded by the report, not proof that the intended person read the message. Do not assume the count means unique recipients.
- Open Rate: the reported open percentage. Compare equivalent periods and populations, and investigate underlying messages before explaining a change.
- Engagement, if shown elsewhere on the report, is not automatically the reply rate for this email automation. Inspect conversations before attributing replies to a campaign.
Check the dates and scope
Always read the displayed start and end dates. For example, the demonstrated Year To Date preset displayed January 1 through December 31, rather than stopping on the day of review.
Different widgets can use different populations or date bases. A card created in April but contacted in May may fall outside a May created-date population even though it has May activity. Do not assume every widget uses the same date basis, or that its edit menu exposes the calculation.
Investigate a surprising result
- Recheck the board, dates, date basis and filters.
- Compare the sending count with one known message from the relevant automation.
- Review the actual conversation for replies and delivery or sending errors. An open signal is not a reply.
- If sending is missing or failed, use Troubleshoot automation errors before retrying. Check prior execution first to avoid duplicate messages.
- Share the report link, dates, widget name, automation and one example card with Support if the figures still cannot be reconciled.
