What is Aptly Access?

Aptly Access is a smart lock solution designed for property managers, residents, and prospective tenants. It replaces traditional key management with secure, digital TT Lock-enabled hardware managed through the Aptly Access mobile app or web app.

Setup & Billing

How long does it take to get started?

Once the quote from Sales is approved:

  • App design and setup: 10–14 days
  • Lock procurement and delivery: 2–4 weeks
  • Initial pairing and training: Typically within 4 weeks from approval
What happens after I approve the quote?
  • App customization begins
  • Training is scheduled
  • Onboarding materials are sent
  • Locks are shipped and provisioning begins
What is the onboarding process like?

When am I charged for the physical locks?

Customers are invoiced and charged after the quote is accepted and locks are ordered.

When does payment for Aptly Access begin?

Payment starts once locks are activated, not when the app is configured or the quote is approved.

What integrations does Aptly Access support?
  • ShowMojo, Tenant Turner, and other scheduling platforms
  • Calendar syncing with CRM or showing tools
How secure is Aptly Access?

Aptly Access is highly secure. It uses encrypted credentials, role-based permissions, and detailed audit logs to prevent unauthorized entry. Master codes are tightly controlled, and all access is tracked — protecting both residents and properties.

What are the roles and permissions in Aptly Access?

Roles and permissions are customizable. You can create the roles you’d like to use in your account as well as assign any permissions you want to each role.

  • Aptly Access - Allow deleting locks
  • Aptly Access - Allow viewing master code

Locks

Can I buy my own locks?

Yes. Customers may buy their own locks but Aptly still offers the best rates and service. Pairing would need to be done manually by the client.

In both cases, the Aptly Access app will be used for management.

What types of locks are supported by Aptly Access?

Aptly Access uses TT Locks, which come in two main formats:

  • Smart Lock (DeadBolts)
    • Notion image
    • App-based control
    • Real-time logs
    • Remote unlock
    • Temporary or scheduled digital access
    • Compatible for integration with screening and showing tools
  • Key Box (Basic Pad Lock)
    • Notion image
    • Access via passcodes or mobile key
    • Limited to standalone use (no integrations)
What are the delivery timelines for locks?
  • Delivery is 2–4 weeks from ordering (depending on shipping method)
  • Delivery estimates are shared when the quote is sent out and during onboarding
Can we manually set a passcode for the locks via aptly?

No. You need to use the passcode provided.

How do we know a lock is activated?

Activation happens during your scheduled training call with your Account Manager.

Is it possible to create a shorter code than the 9 digit one?

Each lock comes preloaded with unique codes that are not changeable.

How do I manage lock access?

Using the Aptly Access app:

  • Add/remove users
  • Assign time-limited or permanent keys
  • View access history and lock status
  • Control roles (Admin, Agent, Resident)
What is the difference between Tour Mode and Resident Mode?
  • Tour Mode:
    • Best for vacant units
    • Temporary access for self-guided showings
    • Used during lease-up phases (Turns)
  • Resident Mode:
    • Secure access for current residents
    • Controlled through the Resident App
    • Applied when the unit is occupied
Can lock ownership be transferred?

Yes. If a property changes hands:

  • The lock can be reset and reassigned
  • Client access is revoked
  • Ownership is transferred securely via the Aptly team
How do we know if a prospect has left and locked up the property?

The locks are configured to auto-lock after a set time, which ensures the property is secured even if the prospect forgets to manually lock the door. However, since there’s no internet connection, we don’t get immediate confirmation that the door was locked. We rely on the auto-lock feature for security and can verify the access and lock history later when someone connects to the lock via BLE and syncs the logs.

If a lock hasn’t been used or the property hasn’t been visited for some time, will the battery level shown in the app be accurate?

The app does not show a live battery reading. If nobody has been near the lock recently to trigger a Bluetooth (BLE) connection and sync the lock’s status, the app will only display the last recorded battery level from the last time the lock synced. So, if a property hasn’t been visited for a while, the battery reading might be outdated and not reflect the current battery level. It’s important to check the locks every so often to update the lock status.

Showings

How are showings handled?
  • Showings are booked online using Aptly’s showing link
  • Calendar settings and availability is set up to control the booking process
  • As an optional extra, pre-screening can take place before the potential candidate can view the unit
  • The system issues temporary codes for unit entry
  • Access is tracked via logs
  • Code approvals can be:
    • Auto-Approved: Fast, good for low-risk showings
    • Manually Approved: For sensitive or high-value units

Tours Calendar

Do I need a synced calendar from Outlook or Gmail?

No. We will create an Aptly specific calendar for your team.

Resident App

What is the resident experience like?
  • Residents use a dedicated Resident App
  • They can lock/unlock, view access history, and receive digital keys
  • It’s separate from the admin and agent interface

Advanced Access Questions

Does Aptly Access use geofencing to unlock doors?

Aptly Access does not rely on geofencing for standard lock usage. Instead, it supports two unlocking methods:

  1. BLE (Bluetooth Low Energy) Unlock
      • The app detects when the mobile device is within Bluetooth range of the lock.
      • If the user has permission, the lock can be controlled; if not, the app will not connect.
      • This does not require geolocation—just proximity.
  1. Passcode Unlock
      • Users can enter a passcode to unlock the door.
      • This method works from any location and does not rely on geofencing.
  • Special Case – Self-Guided Tours:
    • For applicants approved for a self-guided tour, a temporary passcode is generated via the web portal.
    • In this scenario, geofencing is used to ensure the prospect is physically at the property before the code is generated for security reasons.
Can we allow global access for vendors (cleaners, painters, etc)?

You can provide special codes for vendors to use via the app.
