The Aptly Inbox offers many features that are not found in a typical inbox like Gmail and Microsoft. These features will expedite your processes and allow for greater collaboration.
In this article, you will learn how to:
- Snooze an email
- Assign an email
- Share an email
- Create a card from an email
- Relate a card to an email
How to Snooze an Email
We all want to keep our inboxes tidy, but we also don’t want to lose sight of open emails. The Snooze feature allows you to hide an email until a specified time. You can find all Snoozed emails in your MINE view.
- In the selected email (or bulk select multiple emails), click on the Snooze ⏰ icon.
- Select when you want the email to pop back up in your inbox. Add a note (optional). The email will move from your inbox to the Snoozed folder.
- Locate Snoozed emails in the Snoozed Folder in the MINE view. When the selected time passes, the snoozed email will move back to your inbox.
How to Assign an Email
Assigning an email to a teammate (or yourself) tells everyone “I’ve got this.” It allows you to closely follow an email.
- From an email (or multiple), click on the Avatar in the top right corner of the email. You’ll find list of team members.
- Select the user you want to assign the email to.
- The email will appear in the assignee’s Assigned to Me folder in their MINE View.
How to Share an Email
In Aptly, you can share emails with teammates without losing sight of the email and without cluttering your inbox with forwarded emails.
- In an email, click on the Share icon located in the top right corner of a conversation.
- Click on + Invite to locate a teammate to share the email with. You can also add a comment. It will appear as an internal comment in the Conversation.
To find conversations that are shared with you, click on the Shared with Me folder in your MINE view.
How to Create a Card from an Email
There are times when you want to create a card from an email especially if the conversation includes a task that you need to complete in a process.
- To create a card from an email, click on the Cards icon in the top right of the email.
- A message will pop up warning you that the message will be available to all users with access to the card’s board.
- Complete all available sections of the card. Once it’s saved, you can add more details to the card.
Relating an Email to a Card
An email may come into a personal or shared inbox that relates to an already existing conversation or card. For example, a tenant may send a notice to vacate or pertinent email that has a subject line preventing it from syncing to the existing card. This can be easily related to an existing card.
- Inside an existing message, click the three horizontal lines in the upper right corner to open up the details card.
- Under Cards, click the + plus sign and select Choose Existing.
- Search for and click the appropriate card to connect it.
