Collaborating in the Inbox

Share, comment, and assign conversations.

The Aptly Inbox makes it easier than ever to collaborate with your team. You can easily share a conversation, comment internally on a thread, and assign conversations to yourself and to teammates.

In this article, you will learn how to:

How to Share a Conversation

In a typical inbox, you have to forward an email to a teammate in order for them to see it. You lose visibility to the actions that occur with the conversation and messages once it leaves your inbox. With the Aptly Inbox, you can share a conversation with a teammate without the message leaving your inbox.

 

The video below does not have audio, but the steps to follow are below.

To share a conversation, first select a conversation from your Conversations Preview pane.

  1. In the top-right corner of the inbox, you’ll see a share icon (open triangle with 3 dots at each point).
  1. Click on the Share Icon and select +Invite.
  1. Type in the team member you wish to share the conversation with and select their name from the drop-down menu.
  1. Optionally, include a comment.
  1. Click Invite.

Below the message, you’ll see an internal comment appear with the teammate’s name at the end. Their name will also appear when you click on the Share Icon as an invited member of the conversation.

💡
If at any point you wish to remove yourself from a conversation, you can choose to Unfollow. Click the three vertical dots in the upper right-hand corner of the conversation to view more actions and select Unfollow. You will no longer receive notifications about this conversation and it will be removed from your Shared with Me view.

How to Comment on a Conversation

In a typical Inbox, you can’t comment internally on a conversation. Typically, you would forward the message back and forth beginning a new thread of comments. It can be difficult to follow and information can get lost especially when you reply twice to the same thread because you forgot to include some information.

 

With the Aptly Inbox, internal comments are located throughout the thread as yellow comment boxes and they are organized by date and time. Any additional messages that are sent and received will appear by the date. The comments are treated like a message in the thread.

Another power function for internal comments is the ability to start an email, save it as a draft, and have extra eyes review it. Simply start the email, click on Discard > Save, and @mention a team member to review. They will be able to open the draft in the Conversation View.

How to Assign a Conversation

Assigning a conversation to yourself or someone else means that you become responsible for that conversation. You will be notified about any incoming messages for the assigned conversation. It's a way to say "I've got this" in the Shared Inbox. All of the conversations will remain in the Shared Inbox, reducing clutter in your Personal Inbox. You can access them in the Shared Inbox or by going to Assigned to Me in your MINE view of the Inbox Menus Pane.

To assign a conversation, select a conversation from the conversation list.

  1. In the top-right corner of the conversation, locate the avatar. If it is unassigned it will show as a gray silhouette.
  1. Click on the avatar and locate the person to assign the conversation. Click on their name.
  1. The message will move into the assigned person’s MINE view and out of the Unassigned tab of the Shared Inbox. It will appear in the Open tab and it will not move from that Shared Inbox.
