How can we help? 👋

Create, edit, and delete stages

How to customize stages on boards.

Configure stage names, descriptions, and colors to match your team’s actual workflow. This is the main setup guide for creating, editing, and removing stages.

Before changing the workflow, review existing cards, automations, and stage-entry criteria. Use meaningful progress or handoff names, such as Ready for review; keep individual actions as tasks. A stage change does not itself complete work, although configured automations may act when their rules qualify. For the distinction, see What are stages?.

Open the board settings, then Card Options → Stages. New Stage and New Group are separate controls.

Create a stage

  1. Open the board’s Settings cogwheel, then Card Options → Stages.
  1. Use + Add Option under the appropriate stage group, or + New Stage, as offered in the stage editor.
  1. Enter a stage name.
  1. Click Save.

Edit a stage

  1. Open Settings → Card Options → Stages.
  1. Click the stage name.
  1. Update the title, description, or color.
  1. Click Save.

Add a stage group

Use a group to organize several related stages—not to replace a stage or a task. For practical examples, see Use stage groups.

  1. Open Settings → Card Options → Stages. Existing group names appear as editable headers containing their stage options.
  1. At the bottom of the stages list, select New Group next to New Stage.
  1. Name the group for a broader phase, such as Leasing or Preparation.
  1. Add the stages needed within that group using the editor’s available Add Option or New Stage controls. If rearranging existing stages, review the resulting group and order before saving.
  1. Click Save, then review the board to confirm the intended grouping. Check existing cards and dependent rules before using the revised workflow.

Remove a stage

A stage’s three-dot menu offers Remove. Review dependent cards and rules before using it.

  1. Review cards, automations, and other workflow dependencies before removing a stage. Then open Settings → Card Options → Stages.
  1. Click the three-dot menu next to the stage to be removed.
  1. Select Remove and click Save.

Important notes:

  • Review any warning before confirming removal.
  • Check automations tied to the stage and their enabled/paused state afterward; do not assume they will continue unchanged.
  • Review affected cards in Table view and confirm they have the intended valid stage. Removing a stage is not the same as completing or deleting its cards.

Takeaway

Creating, editing, or deleting stages lets you fine-tune your workflow as your processes evolve — no need to rebuild from scratch.
