How can we help? 👋

Reply To or Forward an Email Message

Reply to or forward any email message.

Reply to the sender, reply to everyone on an email, or forward a message from the Aptly Inbox. Review recipients before sending, and use an internal comment when you only need to leave context for your team.

How to Reply to a Message

Reply to, reply all to, or forward any email message right from your inbox.

A quick note on views

Your inbox can be displayed two ways, switchable from the toggle in the top right: Table and Preview.

Table view lists conversations as rows in a spreadsheet-style table; opening one slides a conversation panel over the list.

Preview view keeps the conversation list and the open conversation side by side at all times, closer to a traditional email client.

Everything below works exactly the same in both views. Table just adds a click to get into a conversation and shows you more at-a-glance detail (status, inbox, assignee) while you're browsing the list. Preview trades that detail for having the conversation open and ready at all times.

How to Reply to a Message

Selecting Reply sends a message to the original sender only.

There are two ways to Reply to a message:

  1. Click the reply arrow icon next to the message you're responding to.

  1. Click the caret (chevron) next to the message, then click Reply.

How to Reply All to a Message

Selecting Reply All sends a message to the original sender and everyone else on the To and Cc lines.

There are two ways to Reply All to a message:

  1. Click the caret next to the message, then click Reply All.

  1. Click the main reply button at the bottom of the conversation. By default this button is Reply All, but which action it performs is something each person controls for themselves (see below).

💡 Before sending, review the To and Cc fields and confirm that the reply is going to the intended recipients.

Set your default reply button

The big button at the bottom of every conversation doesn't have to be Reply All. In Settings > Layout, under Default reply behavior, you can choose:

  • Default — Aptly's standard behavior.
  • Reply All — the main button always replies to everyone on the thread.
  • Reply to sender only — the main button always replies to just the original sender.

This is a personal setting, so you can set it however you work best without changing it for anyone else on your team. If your main button says Reply instead of Reply All, this is why.

How to Forward a Message

Forwarding sends the message to someone who wasn't in the original To or Cc fields. Attachments from the original message carry over automatically.

There are two ways to Forward a message:

  1. Click the caret next to the message, then click Forward.

  1. Click Forward at the bottom of the conversation.

💡 Need a teammate to see this conversation without forwarding it outside your team? Click the share icon at the top of the conversation to see who it's already shared with, or invite someone new. It stays assigned to whoever already owns it, and all your team's internal comments and history stay visible to everyone you've shared it with.

How to Leave an Internal Comment

Comments are only ever visible to your team, never to the sender. Click Comment at the bottom of the conversation (next to Reply All and Forward) to open a note with its own formatting toolbar. Use it to loop in a teammate or leave context without emailing anyone.

How to Add Recipients to a Message

You can add people to the To, Cc, and Bcc fields from any reply or forward. Recipients in Cc are visible to everyone on the message. Recipients in Bcc are only visible to you.

  • To add a Cc or Bcc field, click Cc or Bcc next to the To field.
  • To add a recipient, start typing their name or email.
  • To remove a recipient, click the X next to their name.
  • When you're ready, click Send.

💡 You can also change which inbox a message sends From, or edit the Subject line, using the links next to Cc and Bcc. That's handy when you're forwarding something and want to adjust the subject before it goes out.

A couple of other things you'll notice

  • Print and Print With Comments. Click the caret next to any message and you'll see these two options. Print With Comments includes any internal notes your team left on the conversation.
Notion image
  • AI reply suggestions. If your account uses AI Agents, you may see quick-reply chips (with a sparkle icon) above the reply box. Click one to drop that suggested text into your reply, then edit it before sending — it's a starting point, not an auto-send.
