How can we help? 👋

Use mirror fields

Link information between boards.

A mirror field shows information already stored on a related record, so you do not need to enter the same value again.

Choose the type based on where the information lives:

  • Mirror Card Field: show a field from a related card—for example, a lease end date on a Lease Renewal card.
  • Mirror Contact Field: show information from a related Contact Directory record—for example, an owner’s email address on an Owner Onboarding card.

The link identifies the record; the mirror field displays a value from it. Before adding a mirror field, confirm which source card or contact the destination should use. A mirror field cannot resolve an ambiguous relationship simply because the records have similar names.

Use the original card or contact as the source of truth. For visibility-only fields, choose Read Only where available. A mirror field alone does not establish writeback capability or guarantee that a source change appears immediately.

Add a Mirror Card Field

Open the board’s Settings → Board Fields, then select Add Field. For general setup, see Create and organize board fields.

  1. Click + Add Field.
  1. Select Mirror Card Field.
  1. Select the board and the card field that you would like to link to the current board.
  1. Click Save.

The added Mirror Card Field will be located at the bottom of the Fields List.

💡
Read-only: the mirror field will display data on the card, but the field cannot be edited.

Check before allowing edits

If an integration supports writing a field back to your Property Management System, an edit may affect the source system. Confirm support for that specific field and integration before editing; do not assume that every mirror is editable or that updates are immediate. Use Read Only for fields intended only to display source data.

Troubleshoot missing or outdated values

I’ve added a mirror field to a card, but the information is not populating in the field. What’s going on?

A newly added mirror field may need a source-card update before its value populates. First confirm the source relationship and value. Changing a checkbox has been used as a refresh workaround, but it is a real card edit and may trigger automations. Do not bulk-edit cards or enable an automation merely to refresh data without reviewing the affected records and rules. Test on an isolated card first; see Refresh linked data on cards.

💡
Mirror fields will only update if the anchor card is active. If an anchor card is archived, the mirror field will not show data.
I added more options to my dropdown field. Why aren’t they showing in the mirror field?

Mirror dropdown fields do not automatically update with dropdown options if they are changed or added on the anchor field. If a change is made to the anchor field, you’ll need to manually update any mirror fields. Open Settings → Board Fields and review the relevant mirror-field configuration.

I’ve mirrored a location field to another location. Why isn’t the data updating?

Mirror Fields work most reliably when displaying information from a Location to a Workflow Board.

When mirroring data between Locations, results are most accurate when information flows down the Location Hierarchy—from a higher-level location to a lower-level location. For example, mirroring a Building field to a Unit works well.

However, mirroring information up the hierarchy can lead to inaccurate or inconsistent results. For instance:

  • Mirroring a Unit field to a Building is unreliable because one Building can contain multiple Units.
  • Mirroring Lease information to a Unit can also be inconsistent, since a Unit may have multiple Leases over time.

To ensure accurate data, Mirror Fields should only be used when there is a clear one-to-one relationship between the source and destination.
