How can we help? 👋

AI Agent Permissions

Set who has access to AI Agents and configuration abilities.

AI Agent permissions control who can view and edit AI agents within Aptly.

This article highlights the permissions specific to AI agents. For a complete breakdown of all system permissions, please refer to your main Roles and Permissions help article.

Where to Manage AI Agent Permissions

Permissions in Aptly are assigned per user role.

To access and update permissions:

Notion image
  1. Open your avatar menu and select Settings.
  1. Select Company Info & Team.
  1. Find Roles & Permissions and select the role’s pencil icon.
  1. Enable View AI Agents for read-only access, or both View AI Agents and Edit AI Agents for configuration management. Review call-history archiving permission separately.
  1. Click Save to apply the role’s permissions.

You must be authorized to manage Company Info & Team. A role change affects everyone assigned to it. Only a user in a Locked Admin Role can change that role’s permissions.

AI Agent Permission Types

The role editor lists these AI agent permissions:

  1. Aptly AI Agents - Ability to view Aptly AI Agents
  1. Aptly AI Agents - Ability to edit Aptly AI Agents
  1. Aptly AI Agents - Archive and unarchive calls in the activity history

Viewing, changing configuration, and maintaining call history are separate permissions. View and Edit AI Agent permissions are not enabled by default. Enable the appropriate permissions for each role. These permissions control a human user’s access; the agent’s own capabilities and connected resources are configured separately.

Ability to View AI Agents

This permission allows users to:

  • Access the AI Agents section (star icon in navigation)
  • View the AI Agents Overview dashboard
  • Review Activity and call logs
  • Open individual AI agents
  • View configuration details in read-only mode
  • See Recent Activity and Recent Changes (change log)

View permission alone does not allow changes to AI agent settings.

This is ideal for:

  • Managers monitoring performance
  • Team members reviewing call history
  • Users who need visibility but not configuration access

If this permission is turned off, the user will not see the AI Agents section at all.

Ability to Edit AI Agents

This permission allows users to:

  • Modify AI agent configuration
  • Update capabilities and conversation settings
  • Adjust routing and behavior
  • Save configuration changes

Enable viewing as well as editing for users who manage AI agent configuration.

This permission is best suited for:

  • System administrators
  • Operations leaders
  • Team members responsible for AI setup and optimization

How View and Edit Permissions Work Together

These permissions can be enabled independently:

View Only (Recommended for Most Users)

  • View AI Agents: ON
  • Edit AI Agents: OFF

Result:

  • User has read-only access.
  • Can see performance data and configuration.
  • Cannot make any changes.

Full Access

  • View AI Agents: ON
  • Edit AI Agents: ON

Result:

  • User can both view and update AI agents.

No Access

  • View AI Agents: OFF
  • Edit AI Agents: OFF

Result:

  • AI Agents section is not visible.

Tracking Configuration Changes

When users have edit access and make updates, those changes are logged.

Within each individual AI agent, the Recent Changes tab (change log) shows:

  • What was updated
  • Who made the change
  • When the change occurred

This ensures accountability and makes troubleshooting easier if agent behavior changes unexpectedly.

Summary

AI Agent permissions allow you to control:

  • Who can see AI performance and call history
  • Who can modify AI configuration
  • Who has full administrative control

To update these permissions:

  • Go to Settings → Company Info & Team → Roles & Permissions.
  • Adjust viewing and editing permissions for the role’s work.
  • Review call-history archiving permission separately.

By separating viewing and editing access, Aptly allows teams to maintain visibility while protecting critical AI configuration settings.
