How to Create a Ring Schedule for a Twilio Phone Line

Create shifts, set call hours, and customize your call schedule using Ring Groups for Twilio numbers in Aptly.

No one wants to get a call from at 10pm at night. Set a call schedule for your Twilio number so that the right people are getting phone calls.


How to Set Up a Ring Schedule

You can set up a Ring Schedule by creating ring groups. These ring groups will allow you to set specific days and hours for each group as well as assign multiple Ring To numbers per group.

A Ring To number is the phone number that will ring when a call is placed. Remember, Twilio acts as a middle man connecting your caller to your phone while keeping your personal phone numbe hidden.

A ring schedule allows you to control when calls route to certain numbers or teams. This is especially helpful when:

  • You have specific business hours where your team answers calls live
  • You want after-hours calls to route to an AI Agent, voicemail, or an on-call team member
  • You manage specialty lines such as a maintenance emergency line that needs different routing depending on the time of day

With ring schedules, you can create different “ring groups” that activate only during certain time windows. For example, your default group can ring your office line during business hours, while an after-hours group can route calls to your on-call technician.


Where to Access Ring Schedule Settings

The steps depend on whether you’re using a personal phone inbox or a shared one.

For Personal Phone Inboxes

  1. Go to Settings
  1. Select Personal Phone Numbers

For Shared Phone Inboxes

  1. Go to Settings > Help Desk
  1. Locate your shared phone inbox and select the Edit icon
  1. Find the section labeled Ring Configuration

On the right side, under Ring to Phone Number, you’ll see a dropdown. Select Ring Schedule to get started.

Creating a Ring Schedule

Once you select Ring Schedule, you’ll see the option to configure Ring Groups. Ring groups let you define who gets called and when they receive calls.

Step 1: Set Your Default Ring Group

Every phone line needs a default group. This group is used whenever no other schedules apply.

  1. Click Default Ring Group
  1. Under Ring To, add the phone number(s) that should ring when no other schedule is active
      • This could be your office main line, team members, or an AI Agent

The default group is always used unless a scheduled ring group overrides it.

Step 2: Create an Additional (Scheduled) Ring Group

Next, you’ll create your after-hours, weekend, or team-specific ring routing.

  1. Click Add Ring Group
  1. Give the group a name (e.g., “After Hours On-Call Team”)
  1. Click the link that says No schedule defined – will not ring

  1. Select your time zone
  1. Choose your days of the week
  1. Set your start and end hours
      • For example, an after-hours group might run 5:00 PM–8:00 AM
  1. Under Ring To, add the number(s) this group should call during the scheduled window
      • You can add as many numbers as you need
      • All numbers in the group will ring when a call comes in during the schedule

How Ring Groups Work Together

  • The default ring group covers all hours not included in a schedule.
  • Scheduled ring groups activate only during the time window you define.
  • Incoming calls will follow whichever ring group matches the date and time of the call.
  • If multiple groups share overlapping schedules, the system will honor the first matching group listed.

This setup works well if:

  • Different team members cover different days
  • You rotate on-call schedules
  • You want to separate daytime and after-hours routing
  • You want specific behavior for weekends or holidays

Saving Changes

There is no save button. Any changes you make are automatically saved and applied immediately.
