Make and Receive Calls and send SMS using RingCentral in Aptly

RingCentral integration in Aptly allows you to make and receive calls, as well as send SMS messages, directly within the platform—helping property management teams communicate faster and keep all resident, owner, and vendor interactions in one place.


Before You Get Started

To use RingCentral in Aptly, make sure you have completed the following:

  • Installed the RingCentral softphone on your computer and mobile device
    • This ensures you can take calls whether you’re in the office or in the field at a property.

  • Enabled your RingCentral extension using a JWT token
  • Have your RingCentral login credentials ready

Once these steps are complete, you’re ready to connect RingCentral to Aptly.


Connecting RingCentral to Aptly

  1. Locate the RingCentral icon in the left-hand navigation.
  1. Click the icon to open the RingCentral widget on the right-hand side.
  1. Select Sign In.
  1. Enter your RingCentral credentials.
  1. Review the requested permissions.

  1. Click Authorize to grant Aptly access.

Once authorized, you’ll be able to make calls and send text messages directly within Aptly—without needing to switch between systems.


Making a Call

You can place calls from multiple areas in Aptly, making it easy to connect with applicants, residents, owners, or vendors at any stage of your workflow.

Option 1: From the Global Menu

  1. Click the + (plus) icon at the top of your screen.
  1. Select New Call.
  1. Enter the contact’s phone number or search for an existing contact.
  1. Choose RingCentral as your provider.
  1. Use the dialer to place the call.

Best for quick outbound calls, such as following up on new applications or returning missed inquiries.


Option 2: From a Contact Record

  • Open a contact and click their phone number
  • Select RingCentral to initiate the call

Helpful when reviewing a resident or owner and needing to call them without losing context.


Option 3: From a Card

  1. Click the airplane icon
  1. Select Call

Ideal for task-based workflows—like calling a vendor about a work order or contacting a prospect tied to a specific listing.

Calls initiated from a contact or card will automatically launch in your browser, saving time and keeping your workflow uninterrupted.


Sending a Text Message (SMS)

Text messaging is especially useful in property management for quick, high-response communication—like scheduling showings, confirming maintenance visits, or sending reminders.

Option 1: From the Global Menu

  1. Click the + (plus) icon
  1. Select New SMS
  1. Choose your RingCentral extension
  1. Enter or search for a contact
  1. Type your message and send

Option 2: From a Card

  1. Select SMS
  1. Choose your contact and extension
  1. Send your message

Sending messages from a card keeps communication tied directly to the task, making it easier to track conversations related to leasing, maintenance, or operations.


Receiving Calls and Messages

  • Incoming Calls: Calls will appear as a pop-up dialer in your browser. You can move this widget anywhere on your screen and answer directly.
    • This is especially helpful for teams managing high call volume, ensuring no inquiry or urgent maintenance call is missed.

  • Text Messages: Located in your Inbox, organized under your RingCentral extension.
    • Keeps all SMS communication centralized, so nothing gets lost across personal devices.


Viewing Call and Message History

  • Access a full running list of calls and SMS conversations within the RingCentral widget
    • Great for tracking communication history with prospects, residents, or vendors.

  • On individual cards:
    • View communication under Related → Conversations
    • Track activity in the activity log, including call history
  • In the Inbox

This visibility is key for property management teams—especially when multiple team members interact with the same contact. Everyone can quickly get up to speed without asking for context.


Setting a Default Extension

You can set your RingCentral extension as the default calling and messaging line in your profile settings.

This ensures consistency when communicating with residents and vendors, and helps maintain a professional, centralized point of contact.
