How can we help? 👋

Manage your To Do dashboard

Keep track of and manage all assigned tasks and cards in one space.

Open Dashboard in the main menu, then select To Do to review your tasks and cards. Use Mine, Pinned and Completed to change the work shown. The Today button opens a separate drawer.

Navigate the To Do dashboard

The To Do dashboard has Tasks and Cards sections. What appears depends on the selected view, filters and your access.

Mine

Notion image

Use Mine for work assigned to you, subject to the current filters. Reviewing another user’s work depends on your permissions and the controls available in your account; do not assume every user can access another person’s dashboard.

Pinned

Notion image

Pin important tasks by clicking the pushpin icon 📌 to keep them easily visible..

Completed

Notion image

Use Completed to review completed work available to you. Check the selected filters if an expected task is missing.

Organize tasks and cards

Use the sorting and grouping controls, such as Sort By: Due Date and Group By: Source, to organize the list. The current dashboard also provides Priority, Due Date and Source filters, plus New Task and Recurring Tasks controls.

View all cards that are assigned to you, have a due date, and contain at least one task. You can sort, group, and filter cards just like tasks.

Each task window will be organized similarly, however, the content will vary by task type.

Create a task from the dashboard

💡

Open the task and use the available edit controls. Save where prompted, then reopen or refresh the task to confirm the intended value persisted; do not assume every field or draft autosaves.

  1. From the Dashboard, click New Task.
  1. Create a Task Title, select an assignee, choose a priority, and set a due date. Upon saving, the task will be added to your dashboard and a window will pop up to add additional details.
  1. Click Edit to add a Description.
  1. Edit options.
    1. All tasks include the following options:
      • Status
      • Assignment
      • Priority
      • Start Date
      • Set Due Date
      • Relate a Card and/or Contacts.
        • Adding a card will automatically relate the contacts.
      • Attach files
      • Rich text description
        • You can add merge fields to the Rich Text Description to display information.
        • You can also use a form field to complete data entry for a specific field. For example, you have a task on the Owner Renewals Board to complete the CMAs. You can create a To-Do task and in the description, add the fields that need to be completed.
      • Add Comments
  1. Click on Assigned To to select an Assignee.
  1. Click on Priority to select Low, Medium, High, or ASAP.
  1. Click on Due Date to set a due date.
  1. Add a related card (optional). This will add the task to the card and move the task to the source group on the dashboard.
  1. Add any related contacts (optional).
💡
When you add a new task from the dashboard, the task is created once you save the title. You can continue to add additional details as found below.

To-Do

To-do tasks are the simplest task type. You can use them for any purpose. Add merge fields or form fields.

Email

Notion image

When you create an email task, you can compose the email in the task or use a template and save it to send later. You’ll also need to attach a card.

SMS

Create a task to send an SMS. Within the task, you can either compose and save a draft message or choose from existing communication templates.

Call

Notion image

When creating a call task, select a contact and add a description in the "What should be discussed?" field. The task is created as soon as you save the title. If you're using tasks to track calls, you can set the outcome immediately. If not, leave the call outcome unchanged until you complete the task.

💡
A Twilio account and line must be connected and set up in order to use connected Call/SMS functionality.

Mark a task complete

To complete a task, click the gray checkmark icon in either the dashboard or card view.

Notion image

Once completed, tasks display a yellow undo arrow icon. To mark a task as incomplete, simply click this yellow icon.
