How can we help? 👋

Use calculated fields

Use calculated fields to use existing fields to produce a numerical result.

Calculated fields serve as invaluable tools for various processes such as lease renewals, move-ins/outs, and invoicing, among others. They empower you to perform calculations based on the values in other fields. In Aptly, add a calculated field from Settings → Board Fields. Elevate your efficiency and precision with this feature.

In this article, you will learn:

  1. How to use a calculated field in a calculated field

Add a calculated field

Before adding a calculated field, it’s important to know what you are trying to calculate. Knowing the equation beforehand will help with the setup.

Open the board’s Settings → Board Fields, then select New Field.

  1. Click on + New Field.
  1. Select Calculated Field as the field type.
Open Settings → Board Fields → New Field, then select Calculated Field.
Open Settings → Board Fields → New Field, then select Calculated Field.
  1. Name the field and choose its format, rounding (when available), empty-value handling, and operation.
  1. Select the fields used in the calculation. Complete the required inputs before saving, then check the result against a known example.
An unsaved Currency/Add setup. The Calculation Fields reminder means you still need to select the input fields; this is not a completed formula.

Use a nested calculated field

You can now use the results of a calculated field within a calculated field.

For example, you want to share the proposed rent increase with your tenant who is up for renewal. However, you include their pet rent and the market rent as a part of the offer.

  1. Create the first calculated field - market rent + pet rent. This is titled Total Rent.
  1. Create a new calculated field. Total Rent x 5%. Let’s title this Proposed Rent Increase.
  1. Bonus: Use 2 calculated fields within a new calculated field. Total Rent + Proposed Rent Increase.
