What It Does
When enabled, Auto Relate Locations automatically links additional related records.
- Example: Selecting an Building can also pull in the related Portfolios/Units/Leases tied to that account, so you don’t need to manually relate them.
This feature ensures your workflows have the right context without extra clicks and reduces the chance of missing key relationships.
Risks of Using at the Wrong Level
⚠️ Be cautious where this option is enabled:
- Portfolio/Building Level
- Pulls in all related units and historical leases.
- Creates clutter and noise on cards.
- May trigger automations on outdated records.
- Can slow performance in large portfolios.
Recommended Best Practice
✅ Only enable Auto Relate Locations at the Unit or Lease level:
- Unit-level: Ensures the right property/unit context is added to the workflow.
- Lease-level: Brings in only the current lease, avoiding historical lease noise.
Do not enable this option at the Portfolio or Building level to avoid pulling in past or irrelevant data.
✅ Only enable Auto Relate Locations on a Workflow board. Never on a Location board.
👉 Summary:
Auto Relate Locations is powerful for reducing manual work and ensuring data consistency, but should be scoped carefully. Limit it to Unit/Lease-level fields for accuracy and cleaner workflows.
