How to Add Custom Contact Types and Fields

Add a custom contact type to use in Aptly.

If you have additional types of contacts that you communicate with in Aptly, you can add custom contact types to manage these contacts as well as send communication to these contact types. You’ll use these contact types only in Aptly.

In this article, you will learn how to:

  1. Add a custom contact type
  1. Edit a custom contact type
  1. Add a custom contact field

How to Add a Custom Contact Type

Adding a custom contact type is fairly easy. Head to Settings > Contact Customization.

Once in Contact Customization, you can add a contact type by clicking Add Type in the upper right corner.

  • Write in the Label (how the contact type will appear on a contact card).
  • Select the type of contact (i.e. Tenant, Vendor, Future Tenant). The type is how Aptly can identify the contact regardless of the label. If the contact type exists in your Property Management Software (PMS), it will map to Aptly when a contact is created in your PMS.

How to Edit an Existing Contact Type

To edit an existing contact type, you’ll just click on the pencil icon ✏️. Then, update the label or type. Click Save.

How to Add a Custom Contact Field

You can add additional contact fields to maintain and view in Aptly. They will not sync with your Property Management Software, but they’re an excellent resource for contact details like team Calendly links.

  1. Under Contact Customization in your Settings, click Add Custom Contact Field.
  1. Add a contact field in the same way you add a card field. Enter a Custom Field Name.
  1. Select a contact type that this field should apply to.
  1. Select the data type (field type).
  1. Check the box if the field is optional when creating a new contact.
  1. (Optional) Set a default value.
  1. Click Save.
💡
You can edit an existing Custom Contact Field. Click on the pencil icon✏️ to edit. Click on the trash can 🗑️ icon to delete.
