Do you have properties in different states or regions? You can set up portal links that display only units within a selected filter.
Create a State-Specific Filter for Units
If you have listings in different states or regions, you’ll need to create a filter for each region on your Units board. Using the city or the state as a condition in the filter is recommended.

🔑 Important: Use state abbreviations (e.g., NC) consistently in Rentvine. Spelling out the full state name (e.g., “North Carolina”) will break the filter and the property won’t show up.
How to Create and Use Listing Links
- Go to Listing Settings in Aptly.
- Confirm your properties are both Rent Ready and Published For Rent.
- Apply your region-specific filter.
- Copy the unique Listing Widget URL for that filter.
- Example: a North Carolina link will only show NC properties.
- Share the portal link directly with prospects, or embed it on your website.
💡 Each link includes the Aptly tour and application options, so renters can:
- Schedule a tour
- Apply online
Best Practices
- ✅ Double-check your filters. Compare your filter counts (e.g., 14 units in NC, 3 in TX) against your actual available units.
- ✅ Label links clearly. For example: “North Carolina Listings” vs “Texas Listings.”
- ✅ Test your links. Walk through the flow yourself — schedule a tour or apply — to make sure everything is working.
Example Workflow
- Mark “Main Street” as Rent Ready and Published For Rent.
- The property will appear on your NC Listing Widget link.
- Prospects click the link → schedule a tour → Aptly automatically starts your renter workflow
Troubleshooting: Property Not Showing Up?
If your property isn’t appearing on your listing widget:
Check Rent Ready status. Is it marked as Rent Ready?
What does “Rent Ready” mean?
- Rent Ready = Property/Unit advertising activated
- Rent Ready status will sync to Aptly’s Rent Ready checkbox (one way)

Check Published status. Is it marked as Published For Rent in Aptly?
- For a property to appear on your Listing Widget, it must be marked as Published for Rent.
- This flag is found on the Unit as a checkbox field or on the listing as a toggle.
The Published for Rent toggle in Aptly and the Activate toggle in Rentvine are not connected. If you update one, you’ll also need to manually update the other to keep both systems in sync.
You can update on the Unit or on the Listing.


Check state abbreviation. Make sure the state is listed as “NC,” “TX,” or “OK” — not the full state name.
This comes from Rentvine. Ensure that you’re using the same naming conventions for every single property/unit.
Check the filter. Is the property actually included in the correct filter?

Refresh the widget. Sometimes it takes a few minutes for updates to appear.
Changes are made automatically, but if you want it to refresh quicker, click on the refresh icon on the Listings page.

✅ That’s it! Once your properties are Rent Ready and Published For Rent, they’ll show up on your filtered listing widgets, making it easy for prospects to schedule tours and apply — and for your team to track everything in Aptly.
