Aptly Rent Reporting
Aptly Rent Reporting, powered by CredHub, helps property managers offer residents a valuable credit-building benefit while encouraging on-time rent payments and reducing unpaid balances.
With Complete Reporting, both positive and negative rent payment history can be reported to participating credit bureaus. This gives residents the opportunity to build credit through on-time payments while providing property managers with an additional tool for managing delinquency and collections.
Benefits of Rent Reporting
Help Residents Build Credit
For many residents, rent is their largest monthly expense. Reporting on-time rent payments allows eligible residents to build their credit history through payments they're already making.
Reduce Delinquencies
When residents understand that payment history may be reported to credit bureaus, it can encourage more consistent, on-time rent payments. Reporting can also provide additional leverage when collecting outstanding balances after move-out.
Create Additional Revenue Opportunities
Many property managers include rent reporting as part of a Resident Benefit Package (RBP) and charge a monthly fee for participation.
Dedicated Resident Support
CredHub manages resident questions, disputes, and bureau-related inquiries directly, so your team does not need to work with credit bureaus or handle reporting disputes.
Optional Add-On: Identity Theft Protection
In addition to rent reporting, you can offer residents identity theft protection through Allstate.
This service includes:
- Up to $1,000,000 in identity theft protection coverage
- Access to a mobile app
- Credit score monitoring
- Access to a TransUnion credit report
- Credential monitoring and alerts
Getting Started
The onboarding process typically takes 10β15 minutes of active participation from your team.
Step 1: Attend the Kickoff Call
After enrolling in the program, you'll receive a scheduling link to meet with a CredHub onboarding specialist.
During this call, you'll:
- Confirm your company information
- Review your portfolio structure
- Select your monthly data pull date
- Discuss reporting preferences
Step 2: Complete the Onboarding Portal
After the kickoff call, you'll receive access to a secure onboarding portal where you'll upload the documentation required by participating credit bureaus.
Depending on your business structure, you may be asked to provide:
One of the following:
- EIN confirmation letter
- Active business license
A copy of your standard property management contract used with property owners.
A copy of your standard lease agreement.
Step 3: Complete Bureau Credentialing
Your Rent Reporting subscription includes reporting to:
- Equifax
- TransUnion
- Experian
CredHub handles most of the credentialing process. You may be asked to complete a brief form or confirmation during onboarding.
Experian may require additional documentation and could request a virtual site inspection of your office before approving reporting access.
Resident Notifications and Compliance Requirements
Before reporting delinquent rent balances, current residents must receive a 30-day notice.
To help simplify this process, CredHub provides customizable marketing and compliance materials, including:
- Resident introduction letters
- Resident FAQ documents
- Property manager FAQ documents
- Lease addendum templates
These materials can be customized with your company branding before distribution.
Monthly Reporting Process
After onboarding is complete, monthly reporting typically takes 5β15 minutes to review and submit.
Resident data is automatically synced from your property management software, making your accounting ledger the source of truth for reporting.
Monthly Workflow
- Tenant data syncs automatically
- Review residents with balances over 30 days past due
- Review residents with current unpaid balances
- Submit reporting data
Understanding Reporting Categories
When your reporting window opens, you'll review residents in two categories.
Delinquent (30+ Days Past Due)
Residents with balances more than 30 days past due are considered delinquent by credit reporting standards.
If reported, the delinquency may remain on the resident's credit history for several years.
When to Exclude a Resident
You can choose not to report a resident if:
- They are actively following a payment plan
- They are awaiting rental assistance funding
- There are other circumstances that warrant excluding the balance
Simply remove the balance from reporting before submission.
Current Outstanding Balances
These residents have unpaid balances but are not yet considered delinquent for credit reporting purposes.
Reporting these balances may temporarily affect a resident's credit profile. Once the balance is paid and a future report is submitted, the impact is removed.
Correcting Reporting Errors
If a reporting error is discovered after submission, CredHub can assist with corrections.
Examples include:
- Incorrect balances
- Residents reported in error
- Reporting data that needs to be updated
CredHub can reset reporting periods when appropriate and work directly with participating credit bureaus to submit corrections.
Auto-Submit Option
Property managers enrolled in a Positive-Only reporting program may be eligible for Auto-Submit.
With Auto-Submit enabled:
- Tenant data is automatically submitted each month
- No monthly review is required
- Staff do not need to log in to complete reporting tasks
Contact your onboarding specialist if you'd like to discuss Auto-Submit eligibility.
