Follow these steps to connect Aptly with Rent Manager so your renter and owner leads flow seamlessly between systems.
Step 1: Install the Right Lead Board
Start by installing the correct lead board for the type of prospects you want to track:
- Renter Leads Board – For renter or applicant prospects
- Owner Leads Board – For property owner prospects
These boards provide a dedicated space to manage incoming leads and track their progress.
Step 2: Set Board and Push Preferences
Next, configure how Aptly and Rent Manager share lead information.
- Go to Card Sources → Rent Manager.
- You can access this from the lead board you installed or directly from Locations.
- Toggle ON Sync Lead Type.


- Set your preferences:
- Preferred Board – Choose which board incoming leads will go to.
- Download to Aptly – Pull lead data from Rent Manager into Aptly.
- Update/Create & Push to Rent Manager – Send updates made in Aptly back to Rent Manager.
This ensures both systems stay in sync.
Step 3 (For Screening Prospects): Configure Screening Board Settings
If you’re screening renter prospects, you’ll need to link your screening setup to the correct lead board:

- Navigate to Settings → Screening Management → Board Settings → Units Collection.
- Set the following:
- Lead Board – Choose the same board you designated in Step 2 under Sync Renter Leads details.
- Lead Details – Select “Create lead card if existing is not found.”
- This setting ensures a new lead card is automatically created in Aptly whenever a prospect submits an application.
Final Check
Once these steps are complete:
- New leads will automatically flow into the correct Aptly board.
- Updates will sync between Aptly and Rent Manager based on your preferences.
- Screening workflows will create new lead cards as needed, keeping all prospects organized and ready for follow-up.
