The Applicants board is where you manage and track all incoming rental applications from start to finish. This article walks through each section of the board so you can confidently navigate, organize, and take action on applications.
Before You Receive Applications
When you first open the Applicants board, it will appear blank.
Once your first application is submitted, the board will automatically populate with applications organized by their current status.
Board Settings (Top Right)

In the upper-right corner of the board, you’ll find several configuration and management options:

- Add and manage board fields
- Configure card display options
- Apply location filters (if applicable)
- Set up lease packages (if using Aptly Leases)
Templates
Access and manage reusable templates:
- Forms
- Task templates
- Communication templates
Integrations
You do not need to configure integrations here.
All integrations for the Applicants board are managed within your Screening Settings.
Automations
Create automations to streamline workflows, such as:
- Auto-archiving applications
- Sending communications
- Updating statuses
Privacy Settings
Control who can view or access the Applicants board.
Activity Feed
Track all activity on the board, including:
- Status changes
- Updates to applications
- Historical actions
More Menu
Additional actions include:
- Viewing application forms
- Generating and sharing screening links
- Sending application links via email (guided wizard)
- Exporting the board as a CSV file
- Accessing application linking (for zero-deposit customers)
Views & Reporting
Below the header, you’ll find different board views:
Applications List
Your default view showing all applications.
Reports
Access performance and data widgets.
- Customize layout using the reorder and resize option in the bottom right.
Diagnostics
Monitor the health of your board and identify potential issues.
Manage Views
Reorder or customize your available views from the far right.
Creating Manual Applications
Use Create Manual Application for walk-in applicants or those needing assistance.
💡 Important:
Application fees must be collected manually. They cannot be processed through Aptly or Stripe for manual applications.
Search & Filters
Search
- By default, searches by household title
- To customize:
- Go to Advanced Settings → Board Options
- Add additional searchable fields
- Click Force Reindex after updating
Filters
Create filters to quickly find specific applications.
You can also view:
- Archived applications
- Deleted applications
💡 Best Practice:
Archive applications after they are completed or approved. This can be automated.
Grouping Applications
You can organize applications in three ways:
Group by Location
View applications by property or unit.
Group by Application Status
Track where applicants are in the process.
Group by Stage
Create custom stages for more granular tracking.
⚠️ Note:
Stages require manual setup and are not automatically configured. Contact your account manager for assistance.
Customizing Fields (Columns)
Use the Fields option to control what information appears in your table view:
- Toggle fields on/off
- Reorder columns
Viewing Applications
Within each group (status or location), you can:
- Expand to view all applications
- See the total number of applicants
- Export that group as a PDF
Working Within the Table
Open an Application
Click the expand arrows to view full application details.
Bulk Actions
Select multiple applications to:
- Edit fields
- Call applicants
- Archive or delete
- Move to a stage
- Reassign ownership
- Send bulk emails
- Assign to a new location
- Merge applications
⚠️ Note:
Copying or moving applications to another board is not recommended. Allow your property management system to sync data instead.
Individual Application Actions
Each application includes quick actions on the right:

- Reassign application (avatar icon)
- Email, call, or SMS applicants
- Add or edit fields
More Menu Options
- Log activities (calls, meetings, walk-ins)
- Archive or delete
- Schedule events
- Share forms (e.g., rental verification)
- Generate PDFs from templates

⚠️ Important:
Moving an application to another board will archive it from the Applicants board and remove access.
