How to Sign an E-Signature Document

Sign or countersign an Aptly Sign document

This article walks through signing or countersigning a document in Aptly Sign. Signers, countersigners and other recipients all follow the same steps.

Step 1: Open the signature request email

Look for an email with a subject that starts with "Digital Signature Request," followed by the document title. The email shows the document title, who sent it and any message they included. Select Review Document to open the document in a new browser window.

If you can't find the email, check your spam folder or ask the sender to resend the invitation.

Step 2: Agree to sign electronically

The first time you open the document, you'll be asked to agree to use electronic records and signatures. Read the terms and continue.

Step 3: Move through your fields

Select Start and the document takes you to each field you need to complete, one at a time. Use Next to move on and see your progress as you go. Fields can include signatures, initials, dates, checkboxes, dropdowns, text and more.

  • Signature and initials. Adopt a signature once and it fills each signature spot. Initials are typed from your name, so they can't be drawn.
  • Dates. Pick a date from the calendar. If the sender set limits, days outside the range are greyed out.
  • Links to open. If a field asks you to open a link, open it before you finish.
  • Notes. The sender may leave instructions for you. These show only while you're signing.

Step 4: Review and finish

When you reach the end, the Review and finish screen shows everything you entered. Change anything that needs fixing, then confirm. A confirmation screen tells you your part is complete.

After you sign

  • Your part is marked complete.
  • If signing order is turned on, the document moves to the next signer.
  • After everyone has signed, you receive a completed copy for your records.

Good to know

  • Your answers are saved as you go. If you reopen the link on another device or browser, or more than 30 days pass, you'll fill in the fields again.
  • A signing link that hasn't been used expires after 10 days, and a new invitation is sent automatically. Check your inbox and spam, or ask the sender to resend it.
  • A document that has passed its expiration date can't be signed. Ask the sender to reset the expiration or send a new version.
  • If the sender replaced or deleted the document, the old link stops working. Ask for the newest link.
  • You can't decline a document from the signing screen. Contact the sender if you have a question.

Countersigning

The person named as countersigner on the document, or anyone at your company with the Esignature - Countersign Documents permission if none was named, can countersign. In-app countersigning doesn't save a draft, so finish it in one sitting.
