Navigating and Managing the Aptly Sign Dashboard

Easily manage all your e-signature documents in one place

The Aptly Sign dashboard is where you manage e-signature documents from draft to completed agreement. Track status, organize documents in folders, and open your templates, including the new eSignature builder.

Getting Started with the Aptly Sign Dashboard

When you open Aptly Sign, you land on the Documents Dashboard. It gives you an overview of your documents by status.

  • Drafts: Documents you’ve started but haven’t sent yet.
  • Waiting for Review: Documents waiting for you to review.
  • Waiting for Others: Documents waiting for someone else to sign.
  • Action Required: Documents that need action from you or your team.
  • Expired: Documents past their expiration date. They may need to be resent or reviewed.
  • Completed: Fully signed and finalized documents.
  • Archived: Older versions of documents you fixed with Edit & Resend. An archived document is read-only and shows a “Replaced by revision N” banner that links to the new version. The new version appears in your list as its own document, with a new ID and sent date.

To create a new document, select the New Doc button in the top right corner.

Below the summary, a table lists all of your documents. You can sort, filter and search it to find what you need.

Fix a sent document

If a document has already been sent and needs a correction, open it and choose Edit & Resend. It opens in the builder exactly as it was when sent. Make your changes, then send it as a new revision. Everyone, including people who already signed, receives new links and signs the new version. The old version moves to Archived.

Edit & Resend isn’t available for fully signed, archived, replaced or draft documents. For the full steps, see “Send an E-Signature Document from a Card.”

Navigating the Left Menu

The panel on the far left is your main navigation.

Document views

  • All Documents: Every document you can access.
  • Created by Me: Documents you created.
  • Shared with Me: Documents your teammates shared with you.
  • Expiring Soon: Documents that are close to their expiration date.

Organizing with folders

Create folders to group documents by property, client or transaction type, so they’re easy to find later.

Accessing templates

The Templates section stores the documents you send often, such as lease agreements, renewals and disclosure forms. Templates make it easy to standardize what you send.

New templates open in the new eSignature builder, where you design on real pages with fillable fields, rich text, page numbers and more. Templates made before the update open in the previous editor. To move one to the new builder, open its row menu and choose Upgrade to v2. This creates a separate copy and never changes your original.
