Reviewing a Document in Aptly Sign Before Sending

Request an internal review before a document is sent to recipients

Use internal review when a document is important enough for a second set of eyes before it goes to recipients, such as a property management agreement. The reviewer can edit the document or only approve it.

Before you start

If the reviewer needs to fill in fields such as initials, approvals or notes, add those fields to the template first. Templates built in the new builder let you assign fields to any person, including a reviewer.

Create the document

Start from a card on a board, which is the recommended way, or from the main Aptly Sign area. Choose a template, confirm the recipients, set the document options (title, expiration, inbox, message and folder), check the signers and countersigners, then select Next.

Request a review

  1. On the Review & Send screen, select Request Review.
  1. Choose an internal user as the reviewer.
  1. Choose a mode: Can Edit or Approve Only.
  1. Add a message. It appears in the notification email and the in-app alert.
  1. Select Send Request.

While the document is under review, only the reviewer can see it. It waits in your Waiting for Review tab.

What the reviewer does

The reviewer gets an email and works through four steps: recipients, document options, document pages (completing any fields assigned to them) and approval. They can go back to earlier steps before they send.

Approve and send

When the reviewer approves and sends, the document goes to all signers in the signing order you set.

Check for cut-off text

If merged values from the card don't fit their boxes, you'll see a "blocks are cut off" message when you leave the Signers step or send. Choose Fix automatically or Review and fix before you request the review so the reviewer sees a clean document.

After sending

Track progress from the Aptly Sign dashboard or the Aptly Sign view on the board.

Best practices

  • Use review for high-importance documents such as PMAs and agreements.
  • Add reviewer fields to the template when you need internal input.
  • Double-check the title and recipients before you request a review.
  • Choose Can Edit when you want the reviewer to collaborate on the document.
