Why Cards May Not Appear on the Owner Renewal Board

When you’re working with your Owner Renewal board, you may notice that a card isn’t being created—even though the lease looks like it meets the filter criteria. This is usually related to how your create card rule is set up.

How Cards Are Created

Cards on the Owner Renewal board are generated by a create card rule that looks for leases expiring within the set timeframe. If a lease meets the filter conditions, the rule should automatically create a card on the board.

Why a Card Might Be Missing

If you see that a lease meets the filter criteria but no card is showing on the Owner Renewal board, the most common reason is:

  • The lease already had a card that was archived.
    • In the rule settings, there’s an option for how to handle archived cards. If the rule is set to “Skip - Do not create”, then the system will not create a new card for that lease.

For example, if a lease had a renewal card last year that was archived, the rule will block a new card from being created this year.

How to Fix This

To ensure new cards get created each renewal cycle, you’ll want to update the create card rule:

  1. Open the create card rule on your Owner Renewal board.
  1. Find the archived card setting (towards the bottom of the rule).
  1. Change the setting to:
      • “Create new if archived card is older than X days”
  1. Enter a time frame longer than the window of time you have for your filter (recommended).
      • This timeframe covers your renewal process window.
      • It ensures that any cards archived more than x days ago will be eligible to create again when they meet the lease filter criteria.

What Happens Next

  • After updating the rule, any leases currently in the filter that don’t yet have a renewal card will be created.
  • It may take up to 10 minutes for new cards to appear.
  • If you manually create a card for a lease, the system may still create a duplicate when the rule runs. If that happens, you can archive the extra card.

Troubleshooting Checklist

If a card isn’t being created on the Owner Renewal board, check the following:

  • ✅ Does the lease meet the filter criteria?
  • ✅ Is there an archived card for this lease on the board?
  • ✅ Is the create card rule set to “Skip if an archived card exists”?
  • ✅ Have you updated the rule to “Create new if archived card is older than x days”?
  • ✅ Have you waited up to 10 minutes for the rule to process?
