To control what vendors can view and edit, you’ll configure settings on your Work Orders Board.
Step 1: Select Visible & Editable Fields

- Go to your Work Orders Board
- Click Advanced Settings
- Select Vendor Portal
You’ll see a list of all available fields with two options:
- View
- Edit
You can configure visible fields as it relatestto the vendor type - 3rd Party or Internal Team
Key Notes:
- Some fields are view-only (cannot be edited), such as:
- Work Order Number
- Maintenance Category
- Description
- Property / Unit
- To allow vendors to edit a field:
- Both “View” AND “Edit” must be enabled
Common Editable Fields to Consider:
- Total Hours Worked
- Vendor Notes / Troubleshooting Comments
- Uploads (Photos, PDFs, Estimates)
Step 2: Add Work Order Time Tracking and Vendor Messages Widgets

To give your team better visibility into the Vendor’s work:
- Go to Advanced Settings
- Select Card Options
- Click Card Detail
- Click + Widget and select Work Order Summary
- Reorder and resize the widget
- Click + Widget and select Vendor Messages
- Reorder and resize the widget
What This Displays:
- Start Date
- End Date
- Total Vendor Time
- Messages between you and your team
This helps your team track progress on each work order.
