When prospects submit multiple inquiries, you may end up with duplicate lead cards on your Renter Leads Board. Aptly provides duplication rules to help you manage how these leads are organized.
Accessing Duplication Rules
- Open your Renter Leads Board.
- Go to Board Details → Advanced Settings → Duplication Rules.
- Choose one of the following options:
Duplication Rule Options
None
- What it does:
No actions are taken to merge or manage duplicate lead cards.
- When to use:
If you prefer to manually manage duplicates.
By Contact
- What it does:
All requests submitted by the same contact are combined into a single card, no matter how many properties the lead inquires about.
- Example:
- A lead named Sarah submits requests for Property A, B, and C.
- Result: All three requests are merged into one card tied to Sarah.
By Location and Contact
- What it does:
- Multiple requests for the same property are merged into one card.
- Requests for different properties create separate cards.
A new card is created for each property a contact submits a request for.
- Example:
- Sarah submits two requests for Property A and one for Property B.
- Result:
- Property A → One card (merged)
- Property B → One separate card
Summary of Behaviors
Rule Type | Duplicate Behavior |
None | No merging – all requests create separate cards |
By Contact | All requests from the same contact merge into one card |
By Location & Contact | Requests for same property merge; requests for different properties create separate cards |
Best Practice
- Use By Contact if you want to track a single lead’s journey in one place, even if they’re interested in multiple properties.
- Use By Location and Contact if you want to track interest for each property separately.
