Advanced Board Settings: Board Options

To access your board settings, click on the cogwheel icon in the upper right corner of any board, then select Advanced Settings. The first section you’ll see is Board Options, which applies settings to the entire board.

Board Details

  • Board Icon & Color – Update the visual icon and color to help distinguish your board from others.
  • Board Name – You can rename your board, but keep in mind that changing the board name will also update any connected merge fields and form fields used in Communication Templates or Forms.

Board Description

You can add an internal board description, which appears below the board name. Use this to provide your team with additional context or workflow notes related to the board’s purpose.

Board Type

There are two board types to choose from:

  • General Use – Ideal for tracking internal tasks, team activities, and customer interactions.
  • Lead Board – Designed for managing customer relationships, tracking leads through a process, and unlocking additional reporting metrics.

Privacy Settings

Toggle Private Board to restrict visibility so that only invited members can access the board. You can manage these members under the Members section of the settings.

Quick Search Options

Quick Search allows you to search for cards by specific fields.

  • Select up to five fields to include in your board’s search criteria.
  • If you make changes or add new fields, toggle Force Re-index and click Save. The re-indexing process takes about 10 minutes to complete.

Duplication Rules

Duplication rules determine how Aptly handles duplicate records on your board.

  • No Rule – No duplicate prevention is applied.
  • One Card per Contact – Prevents multiple cards for the same contact across locations.
  • One Card per Contact and Location – Allows a new card only if the contact’s inquiry is linked to a different location.

Duplication rules are most commonly used on lead boards to help manage multiple inquiries from the same prospect.
