How to Create a Recurring Task on a Board

Add the same task continuously.

Recurring tasks help you automate repeating actions on your boards — such as weekly check-ins, monthly follow-ups, or recurring maintenance reviews — without manually adding the same task over and over.

Before setting up the automation that will create the recurring task, you’ll need to create a task template on the same board where the tasks will be assigned.


Step 1: Create the Automation

To begin, click the ✨ Automation icon in the upper right corner of your board, then select New Automation.

At the top of the automation setup, you’ll be able to complete the following details:

  • Title – Give your automation a descriptive name so it’s easy to identify later.
  • Status – We recommend starting with Draft before setting it live.
  • Folder – Organize your automation into a folder. (This doesn’t reflect board stages.)
  • Test Mode – You can enable test mode to preview how the automation will run.
  • Description (Optional) – Add internal notes or context for your team.

Step 2: Choose a Trigger

Next, select the trigger that will determine when this automation fires.

For recurring tasks, choose one of the following triggers:

  • On Reply – When a reply is received in a conversation related to the card.
  • Custom Condition – When a custom field or specific condition is met.
  • Task Completion – When a selected task is completed on the card.

If you choose On Stage Change, note that this trigger only runs once the first time a card enters the stage. If the card leaves and returns, it will not re-trigger the automation.


Step 3: Set the Timing

Once you’ve set your trigger, configure the timing for when the recurring task should occur. You can choose from several options:

  • Specific Day of the Week – Example: Every Sunday
  • Specific Day of the Month – Example: The 1st or 15th of each month
  • Certain Days of the Week – Example: Every Monday, Wednesday, and Friday

As long as the card meets the conditions of your trigger, the task will fire according to the selected timing.


Step 4: Add the Action

Under Action, select Create Task.

Then choose From Template and select the task template you created earlier.

This will automatically generate the recurring task on the card whenever your trigger and timing conditions are met.


Step 5: Test and Activate

Before setting the automation live, switch it to Test Mode to confirm that it fires correctly and creates the expected tasks. Once confirmed, change the status from Draft to Live.

Your recurring task automation is now ready!
