Set Up the Board
Prerequisite: A Date Field
To trigger an automation, make sure your Portfolio and Building/Unit cards have a date field. For example, to send an annual maintenance reminder to an owner, you can use the management start date. If this field doesn’t exist, create a custom field in Rentvine or Propertyware. For other systems, create an Aptly-only field on the Portfolios board.
Options:
- Send from the Portfolios board.
- Create a custom communications board.
Automation Trigger Set Up
To set up the automation, you’ll create a Custom Condition automation.

For date fields, you can select Specific period of the year to set annual criteria. To trigger an action on the same date every year, choose Same month and day as today (ignoring the year). For example, if the Management Start Date is 7/3/2024, every year on July 3rd, the automation will be triggered and added to the queue according to the timing set on your automation.
For custom condition automations, we recommend getting as precise as possible by including the stage/status as a condition and any other fields that will apply to your scenario.
