Understanding Advanced Board Settings

Customize and organize your board with board settings.

In this article, we’ll go over the Advanced Settings available on your boards and what each section controls.

To access your board settings, click on the cogwheel icon in the upper right corner of any board. This will open the Advanced Settings menu, where you can manage all customization and configuration options for your board.


Board Options

Within Board Options, you can update your board icon, color, and name.

Changing the board name will also update any merge fields and form fields that reference that board in your

Communication Templates

Forms

You can also configure your Quick Search options here. Choose up to five fields that can be searched using Quick Search. If you add new fields or make changes, toggle Force Re-index and click Save to apply updates.


Board Fields

The Board Fields section is your board’s data hub. This is where you can:

  • Add, edit, or organize all field types used on the board.
  • Create field groups to organize related data.
  • View and manage mirror fields — these are fields pulling data from or sending data to another board.

You’ll see both incoming and outgoing mirror fields listed, along with the origin board, field name, and whether each field is read-only.


Card Options

Under Card Options, you can customize how cards function and appear.

You’ll find settings for:

  • Card Naming – Define how card titles are generated (manually entered, contact name, created date, or custom).
  • Stages – Add, rename, or reorder the stages of your board’s workflow.
  • Start Card – Choose which fields appear when manually creating a new card.
  • Card Preview – Configure the details visible when you click on a card once (appears in the right-hand preview panel).
  • Card Detail – Manage the expanded card view that appears when double-clicking a card.

You can also edit your widgets and views to adjust what information is shown on expanded cards.

Assignment Rules

Assignment Rules determine how cards are assigned when they’re created.

You can choose from several assignment methods:

  • Manual Assignment – Cards must be assigned by a user.
  • Assign All Cards to a Specific User – Automatically assigns all new cards to the same user.
  • Round Robin – Distributes new cards evenly among team members with access to the board. Round robin considers each user’s workload for load-balanced distribution.
  • Round Robin by Team – Assigns cards evenly across members of a selected team.
  • Assign by Contact Field – Assigns cards to users linked through a contact field (e.g., Property Manager).

When reassigning cards, you can also define how associated items are handled:

  • Choose whether to reassign all tasks or only unassigned tasks to the new card owner.
  • Optionally, reassign related conversations when ownership changes.

Business Hours

You can set specific business hours for automations on the board.

  • The default business hours are defined under Company Info and Team Settings.
  • Use the override option to define unique hours for a specific board — ideal for boards like Work Orders or Move-Ins, where activity may occur outside standard hours.
    • This ensures automations only run when the board’s “office” is considered open.


Reporting

The Reporting section controls whether this board contributes to team and performance reporting.

You can:

  • Include the board’s activities on the Leaderboard, allowing them to count toward team performance metrics.
  • Enable Board Reports, which adds a reporting view directly to the board for easy visibility into metrics and trends.
