Each campaign is tied to a stage — for example, New Leads, Active Nurturing, or Passive Nurturing — and uses automation to send messages at set intervals.
Think of it as your virtual assistant that follows up for you consistently — helping you convert more leads and stay top of mind.
Examples of Drip Campaigns in Aptly
On the Owner Leads board, there are three built-in drip campaigns:
- New Leads — Designed to engage brand-new prospects as soon as they reach out.
- Active Nurturing — For leads who have shown some interest but haven’t yet signed on.
- Passive Nurturing — For colder leads you want to stay in touch with over time.
Each campaign uses timing and message sequencing to guide communication naturally through your pipeline.
New Leads Drip Campaign
When a new owner lead enters the New Leads stage:
- An email is sent immediately to confirm you’ve received their inquiry.
- After 5 minutes, an SMS is sent (via Twilio) to follow up personally.
- After 3 days, another email is sent, followed by additional SMS and email messages every 2 days.
This combination keeps new leads engaged across multiple touchpoints, increasing the chances of getting a response early in the process.
Active Nurturing Drip Campaign
Once a lead starts to show interest — for example, they’ve replied or requested more information — you can move their card to the Active Nurturing stage.
In this stage:
- The first email is sent 5 days after entering the stage.
- Subsequent emails are sent weekly, with helpful, educational content about property management services.
If the lead replies to any message, Aptly automatically moves their card to the Engaged stage — ensuring that active conversations never fall through the cracks.
Passive Nurturing Drip Campaign
For colder leads who aren’t currently ready to move forward, the Passive Nurturing drip campaign keeps your brand visible with less frequent outreach.
- Emails are sent every 7 days after a card enters this stage.
- These emails can include general updates, property management tips, or company highlights.
This campaign helps you maintain a light touch with inactive leads — so you stay top of mind without overwhelming their inbox.
Editing and Customizing Your Drip Campaigns
Each drip campaign can be fully customized to match your tone, brand, and process.
To view or edit an existing campaign:
- Open your Owner Leads board.
- Hover over the stage (for example, New Leads) and click the sparkle icon ✨.
- Select the Autoresponder automation.
You’ll see all messages, timing intervals, and conditions tied to that stage.
You can:
- Edit templates to include your own messaging or links (for example, update the “Schedule a Consultation” link with your Calendly URL).
- Adjust timing under the “When” field — for example, “After 2 days” or “Immediately.”
- Add SMS messages once Twilio is connected and approved.
How Timing Works
When setting up or editing automations, the “When” condition determines when the next message in the drip sequence will be sent.
For example:
- Immediately: Sends as soon as the card enters the stage.
- After X Days: Sends after a set number of days in that stage.
Most campaigns use an immediate confirmation, followed by messages every few days — but you can adjust based on your lead volume and communication style.
