Use an AI Dashboard board view to describe a dashboard and build it from the current board’s data. You can preview the result and ask for changes before adding the view to your board.
When to use AI Dashboard
Start with AI Dashboard when you want a dashboard for the board you are working in, without setting up a separate app.
- Less setup: Describe what you need, refine the preview, and publish and save the result as a board view. You do not need to move generated code between tools or arrange a separate hosting workflow.
- Access handled in Aptly: Viewers sign in to Aptly and must have access to the source board. Each viewer receives short-lived, read-only access to that board, rather than requiring you to put a permanent API key into the dashboard.
- Changes in the same workflow: Request changes in the dashboard builder instead of maintaining a separate app’s code and deployment process. Still review the generated results and test any refresh controls before relying on them.
A custom app built with Claude Code or another tool may be a better fit when you need to combine data across Aptly objects, add custom integrations, or control the application’s code and behavior. That flexibility also means planning its data connections, permissions, testing, hosting, and ongoing updates.
The coding tool and the hosting approach are separate choices. A Claude-built app can also run inside Aptly and use the Aptly SDK’s short-lived access tokens. AI Dashboard’s advantage is that the board-focused build and publishing workflow is already provided for you. See Building embedded apps and dashboards for the custom-app approach.
To embed an externally hosted full app instead, use Aptly App Hosting (previously Aptly AI). App Hosting’s resource permissions and actions are configured separately; its ability to change records depends on the app’s implementation and granted access.
Before you start
Open the board whose data you want to use. You need the appropriate permissions to create or edit board views. See Board views overview.
Generate a dashboard
- Select New View beside your board’s view tabs.
- In Add new Board View, select AI Dashboard.

- Enter a Name and choose an Icon if needed.
- Under What should this dashboard show?, describe the information you want to see.
- Select Generate dashboard. The button becomes available after you enter a description.
For example:
Show the total number of active cards and the count in each stage. Show aggregate totals only, with no individual card names, contact details, or record-level links. Fetch the latest Aptly data whenever this dashboard opens.
While generation runs, the button shows Building…. Aptly displays a message that it is reading the board and building the dashboard.
Review and refine the result
The generated dashboard appears under Preview. Requests so far lists the instructions you have submitted.
Check the result before saving. Review the totals, labels, data included, and any links or controls. Compare the stage counts with the source board using the same filters, and specify whether archived cards should be included. A generated dashboard may include more detail than you intended or omit a stage, including one with no cards.
To change it:
- Enter a follow-up request under What should this dashboard show?.
- Select Update dashboard.
- Review the updated preview.
For example:
Remove all individual records and keep only the total active-card count and stage counts. Add a Refresh button that reloads these totals.
The controls in your dashboard depend on what was generated. A Refresh button in one dashboard does not mean every AI Dashboard automatically refreshes. If you request one, test it and check the displayed totals and last-refreshed time.
Include “Fetch the latest Aptly data whenever this dashboard opens” in your prompt to request fresh data on opening. This is different from periodically refreshing while the dashboard stays open. If you want periodic refresh, explicitly request an interval, such as every five minutes. These instructions describe the behavior you want; verify the generated dashboard follows them before relying on it.
Add the view to your board
After you are satisfied with the preview:
- Review Private View and Protected View.
- Select Publish and wait for publishing to succeed.
- Select Save to add the view to the board.
The interface explicitly prompts Publish, then Save to add this view to the board. During deployment it shows Deploying; a successful publication shows Live. Generating a preview alone does not complete that sequence.
After saving, select your dashboard’s name in the board’s view tabs to open it.
For general view settings and management, see Customize and manage board views.
Who can see the data
A viewer must be signed in to Aptly and able to open the source board.
Each viewer receives short-lived, read-only access to that board alone. Aptly’s setup explains that the dashboard page holds no data or credentials of its own.
These protections apply to the AI Dashboard view. Do not use them as a description of Aptly App Hosting (previously Aptly AI), AI Agents, or other AI features.
Troubleshooting
- Generate dashboard is unavailable: Enter a description in What should this dashboard show?.
- The preview contains unwanted detail: Ask for a specific change with Update dashboard, then review the result again.
- Totals do not match the board: Compare the same board, stages, and filters. Ask for a more precise definition of active or archived cards, refresh the generated dashboard if it includes that control, and investigate any remaining mismatch before relying on it.
- Publishing failed: A generated preview is not a successfully saved board view. Keep the error message and contact Aptly support if publishing fails, including any Cloudflare Pages setup error.
- You cannot add or edit a view: Ask your administrator to review your board-view permissions.
- Someone cannot open the dashboard’s data: Check that they are signed in and have access to the source board.
