Aptly Access: Quick Start Guide
Aptly Access helps you eliminate physical keys and manage property access digitally—from self-guided tours to resident and vendor entry—all in one place.
This guide will walk you through the core steps to get up and running.
What is Aptly Access?
Aptly Access is a smart lock and access management solution built directly into Aptly. It allows you to:
- Manage smart locks across your properties
- Enable self-guided and agent-led tours
- Grant temporary or permanent access to residents, vendors, and prospects
- Generate secure, one-time-use access codes
- Monitor and control entry in real time
Everything is managed through the Aptly platform and mobile apps—no physical keys required.
Before You Get Started
To successfully launch Aptly Access, make sure you have:
- Approved your Aptly Access quote and onboarding
- Received your smart locks
- Access to an iOS or Android device for setup
- Accepted your invitation and downloaded the Aptly Access mobile app
- Bluetooth enabled on your device
Step 1: Install and Pair Your Locks
Once your locks arrive:
- Physically install the smart lock at the property
- Open the Aptly Access mobile app
- Follow the prompts to pair the lock via Bluetooth
- Confirm the lock is successfully connected
💡 Pairing must be completed on-site using Bluetooth.
Step 2: Assign Locks to Units
After pairing, connect each lock to the correct unit:
- Go to Locations → Locks in Aptly
- Select the paired lock
- Assign it to the appropriate property/unit
This ensures tours, resident access, and permissions are tied to the correct location.
Step 3: Configure Access Settings
Next, define how access will work for your team and renters:
- Enable self-guided tours (optional)
- Set approval workflows for tour requests
- Customize access timing and permissions
- Configure notifications and alerts
Aptly can automatically approve or require manual approval for tours depending on your workflow.
Step 4: Set Up Tours
Aptly Access allows prospects to schedule tours and receive access automatically.
You can:
- Offer self-guided tours with one-time codes
- Schedule agent-led tours
- Sync availability with your calendar
Approved prospects will receive secure access instructions prior to their tour.
Step 5: Invite Users to the App
Invite your team and residents to use Aptly Access:
- Navigate to Locations → Locks → Manage Access
- Click Invite User
- Enter their email address
Users will:
- Download the mobile app
- Accept the invitation
- Verify their account
- Gain access based on permissions
Step 6: Start Managing Access
Once setup is complete, you can:
- Unlock doors remotely
- Issue temporary vendor access
- Provide resident access
- Track entry activity
- Receive alerts for unauthorized access
