In addition to automated tour access, you can manually generate a passcode to share directly with a prospect, vendor, or team member using the Aptly Access Manager app.
Before You Begin
To generate a passcode, you must:
- Be invited to the Aptly Access Manager app
- Have permission to generate access codes for properties

How to Generate a Passcode

- Open the Aptly Access Manager app
- Locate and select the property you want to grant access to
- Tap Unlock
Choose an Unlock Method
You’ll see two available options:
- Requires you to be physically at the property
- Bluetooth and location services must be enabled
- Instantly unlocks the door from your device
- Allows you to generate a shareable access code
- No need to be on-site
Select Code Unlock to continue.
Set the Access Window
After selecting Code Unlock:
- Choose your Start Date & Time
- Choose your End Date & Time
Important: 24-Hour Usage Window
Once generated, the passcode:
- Must be used within 24 hours of the start date/time
- Will expire if not used within that window
Make sure the recipient plans to use the code within that timeframe.
Generate and Share the Code
- Tap Generate Code
- Choose how to share:
- Copy the code
- Share via your device’s available apps (text, email, etc.)
Viewing Code Activity
All generated codes are tracked within the system.
To view activity:
- Navigate to the Locks Dashboard
- Open the relevant lock
- Review the Lock Passcodes to see generated codes
Here, you can see:
- Who generated a code
- When it was created
- When it was used
When to Use Manual Passcodes
Manual passcodes are helpful when:
- Granting access outside of a scheduled tour
- Letting in vendors or maintenance teams
- Providing one-off access to prospects
- Troubleshooting or backup access scenarios
