Aptly allows you to override global tour settings for individual listings or units. This is useful when a specific property requires a different touring experience than the majority of your portfolio.
For example, you may:
- Primarily use smart locks and self-guided tours, but need an agent-led tour for one property
- Have an occupied unit where a resident-led tour makes more sense
- Need stricter approval requirements for a specific listing
- Want different tour availability for a single property
Best Practice
The recommended setup is to configure one global tour setting that works for most of your units. Then, only override settings for the smaller number of listings that require special handling.
This helps reduce manual management and keeps your touring process consistent across properties.
Accessing Listing Override Settings

To override tour settings for a specific listing:
- Open the Listings page
- Select the listing you want to update
- Scroll down to the Showing Details section
Here, you will see:
- Showing Provider
- Showing Link
- Additional Tour Override Settings
Override Tour Calendar Settings

You can override the global tour calendar for a specific listing by selecting Override Global Settings within the Tour Calendar section.
From there, you can customize:
- Time Zone
- Tour Duration
- Maximum Bookings Per Time Slot
- Tour Availability
This is especially helpful for resident-led tours where a current resident has provided limited availability for showings.
For example:
- Tours may only be allowed on weekends
- Tours may only be available during certain hours
- Certain days can be blocked entirely
You can also add additional time slots directly within the listing’s availability calendar.
The calendar settings here function the same way as the global tour calendar settings.
Override Tour Approval Settings

You can also override tour approval settings for an individual listing.
When overriding these settings, you will see the existing auto-approval conditions configured globally. From here, you can:
- Create stricter approval requirements
- Create less restrictive approval requirements
- Require manual approval for all tours on that listing
If you enable Manual Approval Required:
- All auto-approval conditions will be ignored
- Your team must manually approve or deny every tour request
This is particularly useful for:
- Occupied properties
- Resident-led tours
- High-security properties
- Listings with limited availability
Override Tour Mode

You can override the tour mode for any individual listing.
Available tour modes include:
- Self-Tour
- Agent-Led Tour
- Resident Tour
Self-Tour
When using Self-Tour mode, the listing will follow the configured Aptly tour calendar and availability settings.
Agent-Led Tour
If you select Agent-Led Tour, you must also override the Calendar Mode settings.
To configure this:
- Enable Override Global Settings for Calendar Mode
- Select Calendly
- Choose your default Calendly event
This allows prospects to schedule directly with a leasing agent using your Calendly integration.
Resident Tour
For Resident Tours, you can configure who receives tour notifications.
Options include:
- Notify all residents associated with the property
- Select a specific contact field
For example, you may choose to notify only the primary resident listed on the lease.
Override Calendar Mode
By default, listings use the Aptly calendar for scheduling.
However, you can override Calendar Mode for any specific listing and choose:
- Aptly Calendar
- Calendly
If using Agent-Led Tours, it is recommended to:
- Override Calendar Mode
- Select Calendly
- Assign the correct Calendly event
Override Leasing Information
At the bottom of the listing page, you can also override leasing-related settings for a specific unit.
Available overrides include:
- Leasing Contact
- Contact Us Form
- Lease Package
- Fees
- Payment Account
This is useful when a property requires different leasing workflows, contacts, or payment setups than your standard configuration.
