Email Parsers

Configure email parsers to create cards sourced from other vendors.

Email parsers allow you to programmatically create and map data to cards based on emails coming from known vendors. For example, an email parser may help you automatically create new prospective contacts, add the bed/bath count they are interested in, relate a unit, and update pet information as people submit inquiries through Apartments.com or other sources.

Benefits of Email Parsers

  • Automatically create cards for your boards to manage new leads.
  • Keep your inboxes available for existing and ongoing conversations.

How to Set Up an Email Parser

Clean up your inbox with Email Parsers. Once Email Parsers are set up for a specific board, inbound messages from your chosen platforms will be detected when they enter the specified inbox. Aptly will then create a card with relevant information and add it to your selected board.

💡
Email Parsers do not retroactively create cards for conversations that are already in your inbox. Parsers will only create cards for incoming messages. You can manually create cards for existing conversations (see: Create a Card from a Conversation).
  1. From your Inbox, click on Inbox Configuration, and select Inbox Rules.
  1. Click on the Email Parsers tab.
  1. Select the connected Inbox you'd like to set up.
  1. Find your platform(s) of choice and select any that you would like to enable. Any platforms selected will apply the same action. It’s recommended that you select all similar parsers for 1 board. For example, select all of your lead-generating platforms to create a card for your leads board.
  1. Select the Board you would like to create cards for.
  1. Choose the Stage for the card to enter once created. Stages auto-populate depending on the selected board.
  1. Select an Assignee or leave unassigned.
  1. Toggle on/off Use Conversation Assignee to attach the person who was assigned to the conversation as the card assignee.
  1. Toggle on/off to Archive Conversation on Card Creation. This makes for a cleaner inbox.
  1. Toggle on/off to Assign Conversation to the Card Assignee, if designated. Use this if messages enter the inbox as Unassigned.
  1. Toggle on/off to Enable Spam Detection.

Once enabled, Email Parsers (and Inbox Rules) take about 10 minutes to take effect.

To view all Parsers for an inbox, click the arrow icon to expand the list. Additionally, add new parsers to the inbox by clicking +Add Parser.

Why aren’t my emails parsing anymore?

Sometimes lead sources update their email content. Doing so, makes our Email Parser reader unable to read those emails. If you find particular emails from a source no longer parsing, send an email to help@getaptly.com with 2 examples of the email not parsing. You’ll share the email URL with our team.
