What are Topics and Why are They Important?
Topics label conversations so you can organize related messages and find them again. Private topics are visible only to you and can be applied manually. AI categorization uses the company’s shared topics, not private topics.
Private Topics allow you to:
- Categorize conversations in your personal inbox to identify trends.
- Streamline day-to-day tasks and priorities.
Configuring Private Topics in Your Inbox
Use private topics to organize conversations for your own workflow. Configure them under My Topics in your personal settings.
Creating Private Topics
- Open Settings. Under My Settings, select My Topics.
- In the Private Topics area, select Add Topic.
- In the New Topic dialog, enter a short, recognizable Topic Name.
- Add a Description to explain when to use the topic.
- Review the details, then select Save. To leave without saving, select Cancel.
Editing or Deleting Topics
You can update your private topics at any time:
- Click the pencil icon next to a topic to edit its details.
- Keep its name and description clear as your workflow changes. Current topic forms do not have keyword fields.
- To remove a topic entirely, click the trash icon.
Assigning Private Topics to Emails
Private topics can be applied manually to any email in your inbox:
- Open the email.
- In the Details panel on the right, click Topics.
- Switch to the Private Topics tab.
- Select any topics you want to apply.
- To remove a topic later, simply click the X next to its label.
Use short, consistent topic names so you can recognize the labels when reviewing conversations.
