Use a conversation's details panel to find its participants, locations, topics, attachments, tasks, and related cards. You can also open a contact record or connect a card without leaving the conversation.
The route to these details differs between Table and Preview view; use the instructions for your current layout.
The Details Tab
Both views give you a Details tab alongside the conversation. It has the same sections either way:
- In This Conversation — every participant, with a role badge (Resident, Team, and so on) and their email
- Locations — any property or unit tied to the conversation
- Topics — labels like Maintenance or Leasing
- Attachments — files shared in the thread
- Tasks — anything created from this conversation
- Cards — any card (lease, work order, renewal, and so on) connected to the conversation
- Events — scheduled events tied to the conversation
- History — a full timestamped log of everything that's happened (comments removed, views, when the conversation was created)
- Knowledge — any knowledge base articles linked to it
Each section can be expanded or collapsed, and most have a search box or a + to add more.
Table View vs. Preview View
This is where the two views genuinely differ:
In Preview view, the details panel sits collapsed on the far right of the screen by default. Click the small arrow to expand it, and you'll see two tabs represented as icons: an info icon (the Details tab described above) and a contact-card icon showing N Related Contacts. That second tab lists a full card for every contact in the conversation, scrollable, with all of their info at once (more on what's in it below).
In Table view, there's no separate collapsed panel. Instead, clicking a conversation opens it as a slide-over that takes up the space to the right of the list, with two text tabs at the top: Conversation and Details. To see a specific contact's full record here, click their name under "In This Conversation" in the Details tab. That opens their contact record as an overlay on top of Details, with an X in the corner to close it and go back.
Either way, you end up at the same place, Table view just requires an extra click (on the contact's name) to get to a contact's full record, where Preview view surfaces it as its own tab from the start.
Contact Records
Whether you get there by clicking the Contacts tab in Preview view or a contact's name in Table view, each related contact's record includes:
- Tags and Notes — your team's own labels and freeform notes about this contact
- Contact info — address, phone, email, birthday, last updated
- Alerts — account-level flags (for example, an eviction notice or a past-due balance) that show right alongside the conversation
- Cards — every card connected to this contact (not just this conversation)
- Locations — properties or units tied to them
- History — a timestamped log for that contact specifically
- Activities and Documents
This is the same information you'd find by opening the contact from the Customers tab elsewhere in the app, just available without leaving the conversation.
Related Cards
Any card connected to a conversation shows up as a Linked Card chip in the quick-details row above the thread, and also in the Cards section of the Details tab.
Click a linked card and it opens as its own full card view, a separate window overlaying the whole screen with its own tabs (Overview, plus whatever boards you've customized, like Aptly Tours, Calendar, Knowledge, Pages, Tasks, Files, History), its own comments, related items, and activity feed. This is a full working view of the card itself, similar to opening a card in a tool like Trello.
One correction from the old version of this article: opening a conversation with a linked card doesn't automatically switch you into a card view. You always have to click the linked card yourself to open it. The conversation and the card are related, but they're separate views.
Connecting a Card to a Conversation
To link an existing card to a conversation:
- Open the Details tab and find the Cards section.
- Type into the search box. Matching cards show up grouped by board, so you can tell a leasing card from a maintenance work order at a glance.
- Click the card you want to connect.
If the card doesn't exist yet, click Create a new card right in that same search area, choose a board, and save. This creates a brand-new card connected to the conversation, the same result you'd get from the 🪄 Create Card icon in the conversation's action row, just accessible from the Details tab instead.
Summary
The details panel is your context sidebar for a conversation: who's involved, what property or unit it's tied to, and any cards connected to it. Preview view keeps that context one click away in its own tab; Table view folds it into the Details tab, with contact records just a click deeper. Either way, nothing here requires leaving the conversation to look something up.
