How to Move and Reorganize Knowledge Pages

Organize your pages into main pages and subpages.

Keeping your knowledge database organized makes it easier for your team and your AI agents to find the information they need. Here’s how to move, nest, and reorganize knowledge pages in Aptly.

Access the Knowledge Database

To get started, open your Knowledge Database by clicking the cap icon in the left-hand navigation bar.

At the top of the database, you’ll see two main sections: Boards and Pages.

Understanding Boards vs. Pages

  • Boards
    • Boards show knowledge documents that are tied to specific boards in Aptly. These documents are accessible directly from the related board as well as from the Knowledge Database.

  • Pages
    • Pages are where you organize your main knowledge database. This area is ideal for storing core documents such as SOPs, company information, and internal processes.

Creating Nested Pages (Subpages)

You can organize your content by creating pages within pages—similar to folders and subfolders.

To create a nested page:

  1. Create a new page in the Pages section.
  1. Hover over the page title.
  1. Click the plus (+) icon that appears.
  1. A new page will be created and nested inside the original page.

This allows you to group related documents together in a way that makes sense for your team.

Moving and Reorganizing Pages

You can easily move existing pages or rearrange their order using drag and drop.

To move a page:

  1. Click and hold the page you want to move.
  1. Drag it to a new location in the Pages list.
  1. Drop it:
      • On top of another page to nest it as a subpage (the page will highlight blue), or
      • Between pages to reorder it (you’ll see dotted lines indicating placement).

This makes it simple to reorganize your database as it grows.

Example Use Cases

  • Create a Maintenance page and nest subpages for maintenance protocols, vendor guidelines, and troubleshooting steps.
  • Build a Company SOPs page with subpages for company information, policies, and internal procedures.
