How to Enter a Manual Application

Use the manual application option for applicants who prefer paper applications.

There are times when you need to manually add an application like when an applicant completes a paper application or if they are having a difficult time accessing a device. You can easily do so in Aptly in order to still screen applicants using Aptly’s Credit, Criminal, and Eviction tools.


How to Enter a Manual Application

At any point, you can manually enter an application to the applicants board. You’ll need to ensure that you have all necessary information to run the screening from the applicant and verify it against any approved forms of identification:

  • Full legal name
  • Email
  • Phone number
  • Social Security Number
  • Date of Birth

Navigate to the Applicant Board. In the top left corner of the page, click on New Applicant.

To link the applicant to the correct location in Aptly, click on the Filters button below the search bar select Rentable Locations/Properties or Units board. Select the desired location and the move-in date for the applicant.

Add Applicants

Click +Add button under Applicants to add the Primary Applicant.

Enter all required details: first and last name, email, phone, Social Security Number, and date of birth.

💡
This is a great moment to verify the applicant’s identity against their government issued IDs.

Housing

You will add the applicant’s current address and select the housing type (Rent, Own, Staying with friends/family).

  • If the applicant rents, the monthly rental amount will need to be added.
  • There will be a field to indicate if your team has permission to contact their previous landlord. When selected, a consent pdf is created and shared with the landlord via email.

Work Experience

There are 4 options:

  • Full-time/Part-time
    • The applicant can consent to contacting their employer. Similar to the landlord consent, a pdf consent form will be automatically generated when emailing the employer.
  • Contracting/Self-Employed
  • Other
  • Government Income

Documentation

You can drag and drop or upload files required for the application (pay stubs, IDs, signed consent forms, etc.)

Save

The applicant is now added to the Household. You can add additional applicants and minors using the steps above.

Add Vehicles

Add Vehicles. Here you’ll add all of the details of each vehicle for the applicant(s) including Make, Model, Year, Color, License Plate, etc. Click Save to add it to the application.

Add Pets

With a manual application, PetScreening.com is not part of the workflow. You can manually send the applicant(s) an email to complete their PetScreening.com once the application has been completed.

Once all details have been added, click Save to save the household application.

The application will now appear on your Applicants list under Pending Screening and screening can be run.
