You can delete a document you no longer need. Before you do, check whether Edit & Resend is a better fit. If the document just needs a correction, Edit & Resend keeps the history and sends everyone a new link.
Before you start
You will need to have the permission to Delete Documents enabled under Company Info & Team > User Roles and Permissions
Delete a document
- Open the Aptly Sign page.
- Go to the Documents table.
- Find the document you want to remove.
- Select the three-dot menu at the far right of its row.
- Choose Delete Document.
- Confirm when prompted.
What happens after you delete
- The document disappears from your list.
- Recipients, signers and countersigners lose access right away.
- Anyone who opens the original email link sees "Document link is not valid."
- This applies whether the document was unsent, partially signed or fully completed.
When to delete, and when to use Edit & Resend
Delete the document if it was sent by mistake or you no longer want it signed.
If the document has incorrect information, use Edit & Resend instead. Open the document, choose Edit & Resend, make your changes and send it as a new revision. The old revision moves to Archived with a "Replaced by revision N" banner, and everyone gets a new link. Edit & Resend isn't available for fully signed, archived, replaced or draft documents.
Important: deletion is permanent. If you need a record archive may be a better option. If you choose to delete, download a copy before you delete.
