Managing property processes can feel overwhelming when you’re building from scratch. Aptly offers a Template Gallery of ready-made board templates. Each board template includes stages, card settings, communication templates, forms, and automations - all pre-built to follow property-management best practices.
This article shows you how to install one of these board templates and then configure it to suit your organization’s workflows.
Step 1: Install a Board Template

You can install any board template. We recommend starting with one or two to get familiar with how they work.
Here’s how:
- In the Boards navigation menu (top-left), click + New Board.
- Select Create from Gallery.
- Browse and select the board template you want. Then, click "Install Template" in the top-right corner.
- ⚠️ Only click Install Template once — Aptly starts installing the board immediately after you click.
- Wait a few seconds until you see the green pop-up notification confirming the installation.
- After installation, go back to the Boards menu and locate your new board in the drop-down.
Step 2: Set Up the Board
Once installed, your board comes bundled with communication templates, forms, and automations. These must be reviewed and configured to reflect your company’s specific information and workflows.

Review your templates and forms. Edit them to ensure that they match your own company policies and branding.
Automations
The automations included with the board handle most of the workflow from start to finish. However, you’ll need to adjust a few settings:
- Identify the inbox you want to use for Email and SMS automations.
- For each automation, review the following fields:
- Send From Inbox → Select the correct inbox.
- Template → Review or choose the correct template to be sent.
- Send To > Contact Types → Choose the contact types that fit your process (recommended: “Certain Contact Types”).
Step 3: Personalize the Template Board
You may want to customize certain elements of your board to match your branding or process. Here are the recommended adjustments:
Change the Board Name
- Click into the board.
- Click the board’s title to edit it.
- Type the new name and save it.
⚠️ Important: Changing the board name will affect all communication templates and forms that came with the template. If you rename the board:
- Review all merge-fields and form fields in the attached communication templates and forms — they may need updating to match the new board name.
Change the Board Color & Icon
- In the Boards menu, hover over the board you want to edit so the “…” (More) menu appears.
- Click Icon & Color.
- Use the search bar to find a new icon, and choose a color that fits your company branding.
