Use stage group conversion to compare meaningful parts of a workflow—for example, inquiries with tours. Decide what each group represents before interpreting the percentage. A group named Tours can contain requested, scheduled, canceled and completed tours; it is not automatically a count of completed tours.
Choose the groups you want to compare
A stage group collects related stages. Review its membership before using it in a metric. Do not reorganize a live workflow solely to make a report look better.
For example, compare an inquiry group with a tours group to examine movement toward a tour. If your question is about completed tours, a group that includes cancellations or no-shows is too broad unless the widget explicitly filters those out.
For setup, see Create, edit, and delete stages. This guide focuses on conversion rather than repeating stage setup.
Set up stage group conversion
- Open the board’s Reports view, then choose Add Widget → Stage Group Conversion.
- Enter a Title that explains the comparison, such as Prospects to tours. Add a Description if readers need more context.
- Choose Filter Type: By Activity Date or By Created Date. Use a consistent date basis when comparing results.
- Choose the Dividend (the count being divided) and Divisor (the count you divide by). For a tours-to-prospects comparison, select Tours as the Dividend and Prospects as the Divisor.
- Review the choices, then select Save to add the widget. Use Cancel to leave without adding it.
The selectors include board-wide counts—Cards Created, Active Cards, All Cards All Time, and All Open Cards—as well as the board’s available stage groups. In the example board, these include Leads, Prospects, Tours, Applicants and Closed.
Choose counts that answer the same question. An all-time or open-card population is not automatically comparable with a created-date cohort. Check the reporting period, group membership and contributing records before interpreting the percentage.
An illustrative conversion is 150 ÷ 500 × 100 = 30% when 150 members of the same 500-lead cohort reached the later step. A ratio of two independently filtered counts is not automatically a cohort conversion. Do not assume By Activity Date includes every card or is always the better choice.
Check the result
- Confirm the reporting period and date basis.
- Check which stages belong to each selected group.
- Check the card-count option and whether archived or open records contribute.
- Compare a few known cards with their stage history. A card’s current stage alone may not explain a historical movement metric.
- Keep these definitions consistent when comparing periods. If the result is unexpected or above 100%, investigate the populations before presenting it as conversion.
For help, send Support the board/view link, selected groups and date settings, screenshot of the widget configuration, and one example card. Do not change card stages to force a particular percentage.
