Aptly Access makes it easy to manage and schedule agent-led tours for your rental listings. You can use Aptly’s built-in tour calendar or connect your Calendly account to manage scheduling seamlessly.
Step 1: Set Up Your Calendly Integration
If you’d like to use Calendly for scheduling agent-led tours, you’ll need to connect it to Appli.
- Go to Settings → Company Settings → Calendly Integration.
- Add your Calendly Access Token.
- Note: You must have a paid Calendly account to access the API integration.
- Once connected, you’ll see all available Calendly calendar events in Aptly.
Step 2: Configure Default Tour Settings
- Go to Listings under Locations.
- Open Listing Settings → Tour Settings.
- Set your Default Tour Mode to Agent-Led Tour.
- Under Default Calendar Mode, select Calendly.
- Choose the desired Calendly account you added in Step 1.
Result: When a lead books a tour, it will automatically be scheduled on the assigned agent’s calendar.
Step 3: Override Calendar Settings for Individual Properties (Optional)
If you have different agents handling different properties, you can override the default settings for each listing.
- From the Listings page, open a specific listing.
- Scroll down to the Showing Details section.
- Under Calendar Mode, select Calendly.
- Choose a specific Calendly event for that unit or property.
This ensures that each property’s tours are directed to the correct agent or team calendar.
Tips for Success
- Start with defaults: Set up a global default first to simplify scheduling.
- Customize where needed: Use per-listing overrides for complex teams or multiple agents.
- Monitor bookings: Regularly review bookings in Aptly to ensure smooth coordination.
- Ensure Calendly access: Only paid Calendly plans can be integrated with Aptly Access.
