This feature simplifies uploading contacts to a board. You can now import multiple contacts at once using the spreadsheet import option. This is a great option when importing leads from a different source.
Prepare the Spreadsheet and Card Fields
Before importing, download or create a spreadsheet containing your contacts.
Each column title needs to match a corresponding contact field in Aptly. You’ll need a Link to Contacts field on the card in Aptly.
Make sure the fields in your spreadsheet match exactly as titled in the photo below. This matching is crucial for the import to work properly.
Contact Fields that can be imported:
- Mobile Phone
- Work Phone
- Home Phone
- First Name
- Last Name
- Full Name
- Company Name
- Contact Type
From Card Settings in Aptly, add the fields Address (as a short text field) and Contact 1 (as link to contacts). Then, add any additional fields that you want to include from the spreadsheet. The field names need to match the column titles exactly.
If you are importing multiple contacts for the same card, you’ll need another set of columns for Contact 2. Identify each contact’s details using corresponding numbers. Ex: Contact 2 = Name 2, Email 2, Phone 2, etc.
How To Import Contacts Via Spreadsheet
- Navigate to the board where you wish to create contacts (it will create a new card for each new contact).
- Click on Card Sources from the left hand menu.
- Select Spreadsheet Import.
- Once you click Import, select your contact file (.xlsx only) from the pop-up.
- In the following fields, select your contact field from the dropdown as well as the information type, i.e. email, mobile, phone, etc.
- Optional: Select merge with existing. This will combine contacts onto the same card based on the selected criteria. You can choose title, address, or contacts.
