The Aptly Calendar helps you stay organized, schedule meetings, and manage team events all in one place. Whether you’re syncing your personal calendar or collaborating with your team, the Aptly Calendar makes it easy to stay on top of your schedule.
🗓 Navigating the Calendar
When you open the Calendar view in Aptly, you’ll see several key sections designed to help you manage your events efficiently.

Date Picker
On the left-hand side, you’ll find the monthly date picker.
- Use the arrows to toggle between months.
- Click any date to jump directly to that day’s events.
Calendars List
Below the date picker is your calendars list.
This is where you can add:
- Your personal calendar
- Any shared calendars you have access to
- Team members’ calendars (if permissions allow)
If you don’t have permission to view another person’s calendar details, their time will appear as blocked. This helps protect privacy while still allowing you to see when teammates are available.
Tip: Assign each calendar a unique color so you can easily differentiate events when viewing multiple calendars at once.
👀 Calendar View Options

The main section of the page displays your calendar. You can customize how you view it to best fit your workflow.
- Agenda – Displays your day’s events in a simple list format.
- Calendar – Displays your events in a traditional calendar layout.
- Today – Quickly jump back to today’s date.
- Navigation Arrows – Move between days, weeks, or months.
- View Options – Choose between:
- Day view
- Week view
- Work Week view
- Month view
- Work Hours – You can choose to view all hours of the day or limit visibility to your company’s defined work hours (set in Company Settings).
✏️ Adding and Managing Events

Creating and editing events in Aptly is simple.
To add a new event:
- Click anywhere on the calendar at your desired date and time.
- The event window will appear.
- Enter your event details:
- Calendar – Choose which calendar to assign the event to.
- Title – Add a clear event name.
- Date & Time – Select your start and end times.
- Time Zone – Confirm the correct time zone.
- Guests – Add attendees. They’ll receive an invitation automatically.
- Location – Enter a physical address, phone number, or meeting link (like Zoom).
- Description – Include any notes or agenda details.
- Related Card – (Optional) Link this event to a card in Aptly for quick reference.
- Click Save to add the event to your calendar.
Once saved, your event will automatically sync with your connected email provider’s calendar.
🛠 Editing or Deleting Events

To make changes to an event:
- Click the event on your calendar.
- At the bottom of the window, click Edit.
- Update any of the event details as needed.
- Click Save to apply changes, or Delete to remove the event.
📩 Invites and Calendar Syncing
If someone invites you to a calendar event, the invitation will appear in your Inbox.

To accept or decline invitations:
- You must have a calendar synced to your Aptly account.
- Make sure the correct inbox calendar is selected for each of your connected inboxes.
Once accepted, the event will appear automatically in your Aptly calendar and your synced email calendar.

If you see this message, you’ll need to select a calendar for your inbox.
